About The Position

The Employee Services (also known as Human Resources) Administrator serves as the primary administrative support professional for the Employee Services department, helping ensure the efficient day-to-day operation of the office through exceptional organization, customer service, and administrative coordination. This position performs a variety of administrative functions, including maintaining confidential employee records, supporting recruitment and payroll activities, monitoring departmental communications and email, scheduling meetings, and providing operational support for Employee Services Initiatives. By overseeing the daily administrative operations of the department, this position creates capacity for Employee Services leadership to focus on strategic initiatives, employee engagement, organizational development, and other high-impact priorities.

Requirements

  • Experience in an administrative or clerical support role or similar
  • Proficiency with Microsoft Office Suite and Google Workspace.
  • Strong verbal and written communication skills.
  • Proficiency in English required

Nice To Haves

  • Experience using HRIS systems such as Paycom or similar platforms.
  • Experience supporting employee benefits administration.
  • Experience assisting with payroll processing.
  • Previous experience in a Human Resources or Employee Services office preferred.

Responsibilities

  • Serves as the first point of contact for phone calls, emails, and walk-in visitors to the Employee Services Office.
  • Maintains confidential employee personnel files and departmental records in accordance with Seminary record retention policies.
  • Manages incoming and outgoing mail, orders office supplies, and coordinates general office operations.
  • Maintains departmental calendars, schedules meetings, and coordinates appointments.
  • Provides administrative support for Employee Services projects and initiatives.
  • Assists with the administrative aspects of recruitment within the Paycom HRIS, including posting job requisitions, managing applicant workflows, preparing offer letter templates, and completing position close-out procedures.
  • Monitors and guides candidates through the application process and ensures accurate completion.
  • Communicates as necessary to candidates, department heads/hiring managers or others.
  • Initiates various forms and documents.
  • Assists in coordinating New Employee Orientation, including logistics such as room setup, schedules, handouts, and participant materials.
  • Oversight of orientation material inventory.
  • Supports the annual Open Enrollment process by preparing materials and scheduling sessions.
  • Responds to routine benefits questions from employees, escalating complex issues as appropriate.
  • Assists with payroll processing activities.
  • Processes employment status changes such as terminations within the HRIS.
