About The Position

As an HR Assistant, you’ll support a dynamic team and gain exposure to key areas like recruiting, onboarding, and employee relations. This is a temp-to-hire opportunity with real potential for growth and long-term placement. TOK America - A Subsidiary of Tokyo Ohka Kogyo Co., Ltd. TOK America, Inc. plays an extremely important part, serving as the supply hub of semiconductor photoresists and high-purity chemical agents for the customers in United States and Europe. Requirements

  • Typical years of experience in field of 3-5 years.
  • Typically holds bachelor’s degree or equivalent experience.
  • Required certifications include SHRM Certified Professional (SHRM-CP), Certificate in Human Resource Management, and/or Professional in Human Resources (PHR).
  • Skills/Specialties include Administration, Benefits & Compensation, Knowledge of principles and procedures for personnel recruitment, Full-Cycle Recruiting, Employee Relations, Filing, Training, Labor relations, Negotiation, Basic employment and labor laws, and Personnel information systems.
  • Proficiency in HRIS systems & MS Office programs.
  • Exceptional interpersonal skills, with the ability to handle sensitive and confidential matters with discretion, professionalism, and diplomacy.
  • Strong verbal and written communication skills in English, with a courteous and positive approach in all interactions.
  • Demonstrates integrity and professionalism when managing confidential information.
  • Highly organized, with keen attention to detail and the ability to maintain accurate records.
  • Proactive follow-through, ensuring tasks are completed efficiently and on time.
  • Capable of multitasking and thriving in a dynamic, fast-paced environment.
  • Solution-oriented mindset, with the ability to quickly and effectively address employee concerns.

Responsibilities

  • Coordinate the full-cycle recruitment process, including job postings, screening applicants, conducting interviews, extending offers, and ensuring all hiring documentation is completed accurately and in compliance with company policies and legal requirements.
  • Stay informed on federal, state, and local employment laws and regulations, ensuring HR practices align with EEO, ADA, and affirmative action standards. Provide guidance to management and staff to promote a fair and inclusive workplace.
  • Manage employee leave programs, including FMLA, ADA, and workplace accommodations. Ensure compliance, coordinate documentation, and support employees and managers throughout the leave process.
  • Accurately document and update employee records in the HRIS system, ensuring data integrity and confidentiality. Track employment changes and generate reports for compliance and internal use.
  • Investigate and resolve employee complaints and concerns in a timely and confidential manner. Facilitate conflict resolution, mediate disputes, and ensure a respectful and compliant work environment.
  • Act as a liaison to foster effective communication between staff and leadership. Interpret HR policies and employment agreements and assist in resolving workplace issues to maintain morale and productivity.
  • Provide strategic HR guidance to leadership on policy development and implementation. Recommend updates to policies and procedures to reflect best practices and legal compliance.
  • Conduct market research and internal audits to evaluate compensation structures and benefits offerings. Propose adjustments to attract and retain talent while ensuring alignment with budget and legal standards.
  • Manage complex personnel issues, including performance management, disciplinary actions, and terminations. Support departments in addressing staffing shortages and implementing corrective actions.
  • Prepare documentation and represent the company in legal or regulatory proceedings related to employment matters, such as unemployment claims, EEOC investigations, or labor disputes.
  • Lead HR programs and initiatives such as performance cycles, engagement efforts, policy rollouts, or process improvements to support organizational goals.
  • Oversee the administration of employee benefits programs, including enrollment, changes, and claims resolution. Serve as a point of contact for employees and vendors regarding benefits inquiries.
  • Handle a variety of administrative duties including maintaining HR files, preparing reports, scheduling meetings, and supporting HR projects to ensure smooth departmental operations.
  • Interpret, distill, and present complicated and/or technical information to employees, customers, and others in understandable and relatable terms to aid and enhance levels of understanding and implementation.
  • Use and operate a computer, office equipment and other technology devices frequently and consistently throughout each day with a high degree of skill, accuracy, and independent judgment for the purpose of reviewing, analyzing, creating, transmitting, and presenting documents, data, and other business-related information.
  • Perform other necessary duties and tasks as requested.
  • Attending annual and/or quarterly refresher courses related to hazardous waste management and handling, general safety, quality management, and environmental management.
