About The Position

The HR Coordinator provides administrative and operational support to the Human Resources department throughout the employee lifecycle. This position assists with recruiting, onboarding, HRIS maintenance, compliance tracking, employee communications, and day-to-day HR operations. The ideal candidate is highly organized, detail-oriented, customer service focused, and able to handle confidential information with professionalism.

Requirements

  • Two (2) years of administrative experience in Human Resources, recruiting, employee onboarding, or a related office environment.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Proficiency with Microsoft Office and Google Workspace.
  • Experience working with HRIS systems; BambooHR experience is preferred.

Nice To Haves

  • Bachelor’s degree in HR, Business Administration, Organizational Development, or related field.
  • HR certification (SHRM-CP, PHR) or interest in pursuing certification.
  • Knowledge of California labor laws.
  • Experience working in a nonprofit or educational environment.
  • Experience supporting payroll or benefits administration.

Responsibilities

  • Post open positions on job boards and maintain recruitment advertisements.
  • Screen applications against minimum qualifications and coordinate interview scheduling.
  • Communicate with candidates throughout the hiring process.
  • Prepare hiring documents and onboarding packets.
  • Maintain applicant tracking records and recruitment files.
  • Assist with career fairs and recruiting events as needed.
  • Coordinate new hire onboarding, including Live Scan, TB clearance, I-9 verification, and required employment documentation.
  • Prepare employee files and ensure all required paperwork is complete.
  • Schedule and assist with new hire orientation.
  • Coordinate offboarding paperwork, exit checklists, and system access changes.
  • Enter and maintain employee information in BambooHR, Deputy, and other HR systems.
  • Process employee status changes, compensation updates, and position changes.
  • Maintain accurate personnel files and electronic records.
  • Assist with routine HR reports and data audits.
  • Track required certifications, trainings, and compliance deadlines.
  • Maintain HR records in accordance with company policy and legal requirements.
  • Assist with document preparation for audits and regulatory reporting.
  • Prepare employment verification letters and other HR correspondence.
  • Monitor HR inboxes and respond to routine employee inquiries.
  • Serve as a first point of contact for employee questions regarding HR processes, benefits, policies, and procedures.
  • Direct employees to appropriate resources or escalate concerns to the HR Manager.
  • Assist with scheduling meetings, preparing documentation, and tracking follow-up items related to employee relations matters.
  • Coordinate employee recognition activities, appreciation events, and wellness initiatives.
  • Assist with internal communications and HR announcements.
  • Support employee engagement programs and team-building activities.
  • Maintain HR office supplies and forms.
  • Assist with special HR projects as assigned.
  • Perform other administrative duties to support the Human Resources department.
