About The Position

Common Interest Management Services (CIMS) is seeking a full-time, onsite Human Resources Coordinator to join their team in San Ramon, CA. CIMS is a rapidly growing HOA management company in Northern California, known for its innovative solutions and commitment to improving communities. This role provides essential HR support to CIMS and Associa OnCall employees, focusing on benefits, recruiting, onboarding, employee engagement, leaves of absence, safety, and worker's compensation, all while fostering a positive workplace culture. The position operates Monday to Friday, 8 am to 4:30 pm, in the office. The HR Coordinator will collaborate with other departments and interact with vendors, reporting directly to the Senior Director of Human Resources.

Requirements

  • Bachelor’s degree in Human Resources or related field
  • A minimum of 3 years of HR experience
  • Willing to travel locally via automobile roughly 15% of time and has a clean driving record
  • Excellent written and verbal communication skills with strong attention to detail
  • Serve as a supportive and approachable resource for employees while maintaining a balanced and professional stance that represents the organization's interests and policies
  • Intermediate level knowledge of all MS Office applications, Teams and SharePoint
  • Ability to complete high-volume workload, meet critical deadlines and work through constantly changing priorities with enthusiasm
  • Ability to remain calm under pressure and objective when managing sensitive or complex employee matters
  • Punctual and dress professionally for a business environment
  • Strong time management and organizational skills are required
  • Ability to learn quickly, take direction and accept feedback
  • Confidentiality and discretion in performing all duties and responsibilities
  • Approach all issues with balanced judgment and discretion

Nice To Haves

  • Knowledge of I9 work verification requirements desirable
  • Prior knowledge of human resources compliance laws, or an aptitude to learn HR compliance, including knowledge of California wage and hour laws
  • HR Certification (desirable)

Responsibilities

  • Serve as the main point of contact for employee questions regarding benefits, ensuring resolution and escalating to the Sr. Director, HR as needed. Maintain knowledge of all CIMS benefits and update employee Benefit SharePoint site content and documents.
  • Update, post, and remove job postings on Indeed.
  • Schedule meetings with new hires for I9 completion, send new hire gifts, and provide benefit enrollment support. Deliver new hire presentations to ensure a positive employee experience.
  • Complete all SDI and PFL forms for employees to receive paid state benefits. Communicate baby shower options to managers for employees on maternity leave. Send weekly LOA emails to the leadership team and initial leave emails to employees.
  • Assist with planning company holiday parties and company picnics. Participate in the social committee for the corporate office, planning local events and community service opportunities. Create employee recognition award certificates and send monthly employee gifts.
  • Track annual Performance and Self-Assessment reviews, creating tracking reports to ensure timely completion by leaders and employees.
  • Assist employees in completing workers' compensation packets and ensure prompt medical attention. Maintain the OSHA 300 log for CIMS and AOC.
  • Respond promptly to all emails sent to the HR email account. Ensure HR SharePoint site content and documents are updated as needed.
  • Engage in continued self-development of HR knowledge and multi-state employment laws where CIMS employees are located, with mentoring from the Senior Director of Human Resources.
