About The Position

The HR Assistant will partner with hiring managers to manage the full lifecycle of recruiting and onboarding. This role involves developing job postings, managing requisitions in ADP, screening candidates, coordinating interviews, extending offers, and ensuring a smooth onboarding process. The HR Assistant will also provide administrative support, maintain confidential records, and assist with HR reporting and projects.

Requirements

  • Bachelor's degree in Human Resources, Business Administration, Management, Psychology, or a related field preferred.
  • Equivalent combination of education and relevant HR or recruiting experience may be considered.
  • Previous experience in Human Resources, recruiting, talent acquisition, HR administration, or a related function preferred.
  • Experience coordinating recruiting, interviewing, or onboarding activities preferred.
  • Experience working with an Applicant Tracking System (ATS) or Human Resources Information System (HRIS) preferred.
  • Strong organizational skills with the ability to coordinate multiple positions, candidates, hiring managers, and deadlines simultaneously.
  • Strong interpersonal and verbal communication skills.
  • Professional telephone and interviewing skills.
  • Strong written communication skills with attention to grammar, formatting, and detail.
  • Ability to develop effective working relationships with employees and managers at multiple organizational levels.
  • Ability to handle confidential and sensitive employee information with discretion.
  • Strong attention to detail and commitment to maintaining accurate records and system information.
  • Ability to work independently while collaborating effectively with HR colleagues and functional leaders.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams.
  • Ability to learn and effectively use HR technology, applicant tracking systems, and other business applications.

  • Experience with ADP Workforce Now or ADP recruiting modules is a plus.

Responsibilities

  • Partner with hiring managers to develop, review, and update position descriptions.
  • Develop clear and engaging job postings.
  • Create and maintain job requisitions and recruiting workflows in ADP.
  • Post open positions through appropriate recruiting channels.
  • Monitor applicant activity and maintain accurate candidate information.
  • Review applications and resumes to identify qualified candidates.
  • Conduct initial telephone screenings to evaluate candidate qualifications.
  • Coordinate interviews between candidates, hiring managers, and interview panel members.
  • Participate in candidate interviews as an HR representative when appropriate.
  • Provide guidance and support to hiring managers throughout the interviewing and selection process.
  • Prepare and extend employment offers to selected candidates.
  • Communicate compensation, anticipated start date, benefits information, and other applicable employment terms.
  • Prepare and process offer letters and other required employment documentation.
  • Coordinate completion of required pre-employment activities and documentation.
  • Ensure new-hire information is entered accurately and timely into ADP and other applicable systems.
  • Coordinate the new-employee orientation and onboarding process.
  • Develop and maintain onboarding schedules and checklists.
  • Coordinate the employee's first-day activities and orientation agenda.
  • Ensure required new-hire documentation is completed and maintained.
  • Coordinate with managers and internal support functions to ensure the employee is prepared to begin work.
  • Coordinate equipment and system setup, including computers, system access, email, identification badges, workstations, and other required tools.
  • Coordinate introductions, departmental meetings, training sessions, and other onboarding activities.
  • Track onboarding activities to ensure required steps are completed.
  • Follow up with new employees and hiring managers to identify and resolve onboarding needs.
  • Maintain accurate and confidential employee and candidate records.
  • Support HR reporting and recruiting metrics as needed.
  • Assist with maintaining HR forms, templates, position descriptions, and recruiting documentation.
  • Respond to routine employee and manager questions and direct more complex matters to the appropriate HR resource.
  • Support HR projects and other employee lifecycle activities as assigned.
  • Protect employee information and maintain confidentiality.
