About The Position

Hallway Healthcare provides in-home nursing care to retired Nuclear and Federal Workers who have received benefits through EEOICPA or FECA. These are workers retired from Department of Energy facilities such as Lawrence Livermore National Laboratory, Sandia National Laboratories, Lawrence Berkeley National Laboratory, Stanford Linear Accelerator Center, and more. We also serve Federal Workers including U.S. Postal Workers. This position plays a key role in welcoming walk-in visitors, supporting Hallway Healthcare’s team, and assisting with recruiting and HR operations. The role supports daily office operations, employee onboarding, and recruiting efforts to ensure smooth workflow and continuity across departments.

Requirements

  • Minimum of 2 years of human resources, recruiting, or office administration experience.
  • Experience coordinating interviews, onboarding, or employee recruitment preferred.
  • Strong interpersonal and verbal/written communication skills.
  • Demonstrated ability to handle sensitive personal and medical information with discretion and professionalism.
  • Highly organized, detail-oriented, and capable of managing multiple priorities independently.
  • Proficient with common office technology and tools including email, document scanning, data entry, Google Drive/Sheets, and applicant tracking systems.
  • Reliable with consistent in-office availability.

Nice To Haves

  • Experience in Management, Human Resources, Business Administration, or a related field.
  • Previous experience in healthcare staffing, home health, or healthcare recruiting preferred.

Responsibilities

  • Serve as the primary in-office contact for visitors and manage inbound telephone inquiries.
  • Support the HR Manager with onboarding and offboarding processes, including ADP, AlayaCare, background checks, employee file maintenance
  • Assist with recruiting efforts for nursing and office staff positions, including posting jobs, reviewing resumes, scheduling interviews, conducting reference checks, and maintaining applicant communication throughout the hiring process.
  • Coordinate recruitment activities with hiring managers to support staffing needs across multiple regions.
  • Maintain candidate tracking and recruiting records to ensure accurate documentation and follow-up.
  • Conduct initial candidate outreach and screening calls to assess qualifications, availability, and interest.
  • Support employee communications and maintain accurate personnel documentation and records.
  • Prepare and dispatch outbound mail for employees and external correspondents, including condolences and gifts.
  • Review, assist with, and track Alayacare notes for quality assurance and billing while maintaining the QA/Payroll tracking spreadsheet.
  • Perform additional administrative and recruiting-related duties as needed.
