About The Position

The HR Administrator plays a key role in keeping the employee experience running smoothly from recruitment through offboarding. This position manages and supports a variety of HR operations, including recruiting, onboarding, payroll, benefits, HRIS administration, employee records, compliance, and time-off administration. The HR Administrator serves as a trusted resource for employees and managers, ensuring HR processes are handled accurately, efficiently, and with a high level of service.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, Management, or related field preferred; equivalent combination of education and relevant experience may be considered.
  • Minimum of 3 years of experience in Human Resources, Recruiting, People Operations, or related HR administrative roles.
  • Experience working with an HRIS
  • Ability to manage multiple open job requisitions simultaneously while maintaining candidate experience, hiring timelines, and communication with hiring managers.
  • Experience with payroll, benefits administration, employee records, and time-off administration.
  • Knowledge of state and federal HR compliance, employment tax, and related employer requirements.
  • Highly organized and detail-oriented with the ability to manage multiple priorities and deadlines.
  • Strong attention to data accuracy and the ability to identify and correct discrepancies across HR systems, payroll, benefits, and employee records.
  • Strong communication skills and the ability to interact with employees, candidates, managers, and leadership.
  • Ability to maintain confidentiality and discretion when handling sensitive employee information.
  • Excellent project management skills
  • Comfortable working independently while also collaborating closely with the HR team and leadership.
  • Ability to distinguish routine administrative matters from sensitive employee relations, compliance, payroll, or benefits issues requiring escalation.
  • Comfortable learning and navigating multiple technology platforms and HR systems.
  • Comfortable working in a fast-paced environment where priorities may change.
  • Strong customer-service mindset with a genuine interest in supporting employees and creating a positive employee experience.

Responsibilities

  • Serve as the first point of contact for employee questions related to HR policies, leave, benefits, payroll, and administrative processes, and escalating complex HR matters to HRBP.
  • Manage employee records and documentation processes across the full employee lifecycle, from offer letters through offboarding files.
  • Help prepare HR reports related to turnover, headcount, onboarding progress, compliance tasks, and other people metrics.
  • Maintain accurate and confidential employee records in HRIS, including new hires, employee changes, status updates, and required documentation.
  • Administer key HR compliance processes by maintaining required forms and documentation, supporting audits, tracking compliance requirements, and escalating potential compliance concerns.
  • Oversee employee time-off requests, including reviewing requests, maintaining accurate records, resolving discrepancies, and updating the company time-off calendar.
  • Administer company-wide engagement surveys, maintain survey records, and provide reporting to the HR Business Partner for analysis and action planning.
  • Support HR-related initiatives and processes, including Performance Management, employee surveys, and other people programs led by HRBP.
  • Distribute HR-related communications, announcements, reminders and updates.
  • Process semi-monthly payroll for employees, including reviewing timecards, new hires, terminations, employee status changes, deductions, reimbursements, garnishments, and payroll submissions through HRIS. Reconcile payroll reports and resolve discrepancies prior to submission.
  • Maintain state registration and withholding accuracy.
  • Serve as the point of contact for payroll discrepancies and employee pay questions.
  • Administer new-hire benefit enrollment and employee benefit changes; support annual open enrollment; maintain accurate benefit records; and coordinate day-to-day activities with benefit vendors and brokers.
  • Respond to routine employee benefit questions and escalate complex benefit issues to the appropriate vendor.
  • Manage COBRA notices and Administration.
  • Post job openings and maintain listings on ATS, LinkedIn, and Indeed.
  • Source, screen, and interview candidates against established role requirements and coordinate the candidate experience through the hiring process.
  • Coordinate interviews, gather interview feedback, and maintain timely communication with candidates throughout the hiring process.
  • Coordinate offer approvals, offer delivery, background checks, and other pre-employment requirements.
  • Build and maintain active candidate pipelines for recurring and priority positions across the organization.
  • Partner with HRBP on recruiting strategy, challenging hiring trends, and positions requiring additional support or escalation.
  • Track recruiting metrics and open requisitions and report status weekly to HRBP.
  • Provide administrative support for office operations, including managing incoming calls and inquiries, ordering office supplies, coordinating workspace setup and equipment, and administering the Employee Laptop Program.
