About The Position

We are looking for a highly organized, detail-oriented HR & Administrative Compliance Coordinator to join our Human Resources and Administration team. This is an excellent opportunity for someone who has experience in HR, healthcare administration, compliance, office administration, or business operations and enjoys being the person who makes sure details are accurate, documentation is complete, systems are up to date, and important tasks don't fall through the cracks. A college degree is not required. We are more interested in finding someone with strong administrative skills, good judgment, attention to detail, and the ability to learn and navigate multiple systems. In this role, you will support HR and administrative leadership with a combination of compliance auditing, reporting, systems review, record maintenance, and special projects. This isn't a traditional HR Assistant position. The HR & Administrative Compliance Coordinator will work across HR and Administration and will have an important role in helping ensure that our records, systems, reports, and processes are accurate and complete. We're looking for someone who enjoys digging into the details, finding inconsistencies, keeping projects organized, and helping a busy organization operate more effectively. Requirements

  • High school diploma or equivalent.
  • Previous experience in HR, office administration, healthcare administration, compliance, business operations, or a similar support role.
  • Strong organizational and time-management skills.
  • Excellent attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office, including Excel, Word, and Outlook.
  • Comfort learning and working in multiple software systems.
  • Ability to appropriately handle confidential information.
  • MUST BE LOCATED IN THE MIDDLE TENNESSEE AREA

Nice To Haves

  • 2+ years of relevant HR, administrative, compliance, or healthcare experience.
  • Experience in behavioral health, healthcare, or another regulated industry.
  • Experience reviewing or auditing employee files or compliance documentation.
  • Experience working with HRIS, payroll, training, credentialing, or workforce management software.
  • Intermediate Excel skills.
  • Experience creating reports, maintaining tracking systems, or reconciling information between multiple systems.

Responsibilities

  • Conducting routine audits of employee personnel files and identifying missing or incomplete documentation.
  • Tracking outstanding HR and compliance requirements and assisting with follow-up.
  • Reviewing information within HR and other organizational software systems for accuracy and completeness.
  • Comparing information across systems and reports to identify discrepancies.
  • Preparing recurring and special HR and administrative reports.
  • Maintaining spreadsheets, trackers, audit logs, and compliance records.
  • Assisting with employee documentation and other HR administrative functions.
  • Helping prepare documentation for internal audits, licensing reviews, accreditation activities, and other compliance needs.
  • Assisting with software implementation, data cleanup, system testing, and ongoing system maintenance.
  • Reviewing data and reports for missing information, unusual activity, or inconsistencies requiring additional review.
  • Assisting with the development and maintenance of forms, checklists, procedures, and administrative processes.
  • Supporting special projects for HR and administrative leadership.
  • Handling confidential employee and business information professionally and appropriately.
