Healthcare Implementation & Project Lead

Aylo Health•Atlanta, GA
•Remote

About The Position

The Implementation & Project Lead owns Aylo Health’s client implementation experience from contract execution through go-live and transition to operations. This client-facing role builds trusted relationships with physician leaders, practice executives, internal teams, and external partners while driving cross-functional execution of strategic operational objectives. It combines relationship leadership, communication, influence, and disciplined project management to create alignment among stakeholders who may not report directly to the role, address risks and difficult issues early, and maintain client confidence as priorities or conditions change. The role develops and maintains project plans, documentation, reporting, and follow-through for successful implementations and strategic initiatives. It makes day-to-day decisions within agreed scope and governance, resolves routine cross-functional issues, and escalates material decisions and significant risks to the Director of Implementations & Strategic Initiatives. It also supports the development of Aylo’s project management office (PMO), including standards, systems, playbooks, and continuous-improvement practices. The position is remote and based in a home office, with standard business hours and some variability around implementation go-lives and monthly and quarterly cycles. Occasional travel to the Atlanta or Nashville offices and client sites is required for key implementation milestones and relationship-building meetings. The role involves regular video, phone, and written communication and prolonged periods working at a computer. The essential functions can be performed with or without reasonable accommodation.

Requirements

  • Three to five or more years of project management, implementation management, client delivery, consulting, or operations leadership experience.
  • Demonstrated experience leading client-facing implementations or complex cross-functional initiatives.
  • Experience influencing people and driving commitments across teams without direct reporting authority.
  • Experience managing multiple concurrent projects with competing priorities and changing conditions.
  • Ability to communicate clearly and credibly with physician, executive, operational, and technical audiences.
  • Ability to address delays, missed commitments, resistance, changing expectations, and performance concerns directly and respectfully.
  • Ability to build practical project plans, timelines, resource requirements, and governance structures and deliver against them.
  • Ability to identify risks early, frame choices, recommend solutions, and escalate appropriately.
  • Strong adaptability, judgment, accountability, follow-through, organization, and attention to detail.
  • Proficiency with project-management tools such as Smartsheet, Microsoft Project, Asana, Monday.com, or similar.
  • Advanced Microsoft Office skills, including Excel, PowerPoint, Teams, and Outlook.
  • Ability to perform the essential functions of the position with or without reasonable accommodation.

Nice To Haves

  • Bachelor’s degree in business administration, healthcare administration, project management, information systems, or a related field; equivalent professional experience may be considered in lieu of a degree.
  • Experience building relationships with physicians, practice executives, senior leaders, clients, or other high-accountability stakeholders.
  • Healthcare, healthcare technology, consulting, or professional-services experience.
  • Salesforce or comparable CRM experience.

Responsibilities

  • Lead end-to-end client implementations from contract execution through go-live and transition to operations, owning both client experience and delivery outcomes.
  • Represent Aylo with clients and build credibility and trust with physician leaders, practice executives, and operational stakeholders.
  • Set expectations, decision points, responsibilities, and communication rhythms with clients and internal teams.
  • Facilitate implementation kickoffs, status meetings, steering committee meetings, readiness reviews, and other high-stakes discussions.
  • Translate operational, technical, contractual, and financial information for physician, executive, and operational audiences.
  • Maintain client confidence when timelines, priorities, or requirements change by communicating early, explaining implications, and presenting a path forward.
  • Lead the transition from implementation to operations with clear ownership, documentation, expectations, and handoffs.
  • Build productive relationships across internal functions, clients, and external partners, and influence stakeholders without direct authority.
  • Create alignment among stakeholders with different priorities and address missed commitments, resistance, competing expectations, and difficult issues directly while preserving trust.
  • Listen to stakeholder concerns, surface risks, adapt communication, and prepare clients and internal leaders for key decisions.
  • Develop and maintain project plans, work breakdown structures, timelines, milestones, budgets, resource requirements, dependencies, and deliverables.
  • Manage multiple concurrent implementations and strategic projects while maintaining visibility, context, and follow-through.
  • Clarify roles, confirm commitments, track action items, and close the loop on decisions and deliverables.
  • Identify risks, dependencies, and barriers early and drive mitigation before they affect clients or delivery.
  • Prepare concise, executive-ready dashboards, status reports, decision requests, and project-health updates.
  • Maintain accurate implementation documentation, meeting notes, project trackers, decisions, and client communication records in Salesforce and designated systems.
  • Keep projects aligned with Aylo’s priorities and adjust plans when business needs or conditions change.
  • Make day-to-day implementation and project decisions within agreed scope, timeline, governance, and client commitments.
  • Resolve routine cross-functional issues and involve the Director of Implementations & Strategic Initiatives when decisions affect material scope, timing, budget, resources, contractual commitments, or client relationships.
  • Escalate significant risks and unresolved issues early, providing relevant facts, business impact, options, and a recommended course of action.
  • Distinguish between decisions owned by the role, decisions requiring leadership approval, and matters requiring broader executive alignment; communicate final decisions and confirm follow-through.
  • Help develop and maintain PMO standards, methodologies, governance practices, and project-management systems.
  • Build and improve implementation playbooks, templates, standard operating procedures, tools, and communication practices.
  • Lead continuous-improvement work focused on client experience, onboarding efficiency, quality, consistency, and scalability.
  • Use lessons learned, stakeholder feedback, and implementation results to improve future delivery.
  • Promote consistent project and implementation practices that support practical execution.
