Head of Business Operations

About The Position

MarcoPolo Learning is hiring a hands-on Head of Business Operations to run day-to-day operations, particularly sales and marketing operations. As the CEO’s operating partner, this role builds reliable systems and processes, supports the AI Agentic Solutions Engineer in deploying agents that reduce manual work, and helps hire, manage, and organize the team. The position combines Chief of Staff responsibilities with hands-on delivery in a lean environment, without a large supporting team. The role partners closely with the Head of Growth on digital subscriptions, marketing, and product initiatives. The Head of Growth owns sales performance, commercial decisions, and revenue targets; the Head of Business Operations owns the systems, data, workflows, coordination, and reporting that enable execution. It is not a quota-carrying sales leadership role and does not own sales results or product-roadmap decisions. The role supports digital subscription, marketing, and product operations; field-sales and revenue operations; AI-agent adoption and deployment; CEO partnership, hiring, and team management; and business insights, planning, and resource allocation. Success is measured by operational reliability, timely execution, team effectiveness, and measurable efficiency gains—not individual sales quotas or revenue ownership. The position is based in New York City with a hybrid arrangement. It is a US-based position; candidates residing outside the United States will not be considered. Compensation is a base salary of $150,000–$180,000, performance bonuses, leadership-level stock options, and full benefits. Actual compensation depends on experience and skill level.

Requirements

  • At least 8 years of experience in business operations, revenue operations, marketing operations, or comparable SaaS roles, with senior accountability for systems, processes, and operating effectiveness.
  • Hands-on experience supporting digital subscription businesses across self-serve funnels, lifecycle marketing, analytics, and experimentation.
  • A track record of improving execution, data quality, or efficiency with growth, marketing, and product teams; direct sales ownership is not required.
  • Experience running operations for a field salesforce in a business with both self-serve and sales-led channels, including CRM administration, forecast support, account processes, rep onboarding, and sales reporting.
  • Experience partnering with technical colleagues to deploy AI agents or agentic workflows in real business operations, with measurable impact; able to define requirements, coordinate testing and rollout, and drive adoption. Personally developing agents is not required.
  • A track record of hiring and managing people, partnering closely with a CEO or senior executive, and delivering cross-functional work in a lean, resource-constrained business.
  • Strong command of SaaS metrics, financial and operating models, and forecasting.
  • Hands-on analytical ability with advanced spreadsheets, SQL, and a BI tool; familiarity with web or product analytics and experimentation.
  • Strong CRM skills; HubSpot is preferred.
  • Ability to translate operational needs into clear requirements and work with the AI Agentic Solutions Engineer on deployment, workflow integration, and adoption.
  • Clear communication, sound prioritization, and judgment to connect operational work to revenue, cost, team effectiveness, and customer outcomes.
  • Must reside in the United States; candidates residing outside the United States will not be considered.

Nice To Haves

  • Experience in EdTech or early childhood education.
  • Familiarity with billing and subscription platforms such as Stripe or Chargebee, app-store subscription data, and Customer.io.
  • Commitment to improving early learning and comfort working in a fast-moving, hands-on environment.

Responsibilities

  • Own systems, workflows, and reporting for acquisition, sign-up, trial, activation, paid conversion, renewal, and churn; maintain reliable subscription and channel metrics, including recurring revenue, retention, acquisition cost, lifetime value, and payback.
  • Support the Head of Growth with campaign setup, segmentation, lead routing, lifecycle communications, and attribution.
  • Coordinate with product colleagues on approved pricing, checkout, onboarding, and launch initiatives, including timelines, testing, tracking, and reporting; surface customer insights and operational issues and support experiments.
  • Own field-sales processes, tools, and administration; implement approved territory and account assignments, coordinate rep onboarding and enablement, and administer approved incentive plans.
  • Support capacity and hiring planning with the Head of Growth; prepare pipeline, forecast, and rep-productivity reporting; maintain clear handoffs to Partner Success.
  • Make HubSpot a reliable source of truth across digital and sales-led channels and connect Customer.io, analytics, billing, and reporting tools; own data quality and reporting processes.
  • Assist the AI Agentic Solutions Engineer with agent deployment by identifying priority workflows, documenting business requirements, and supporting system and data readiness, user acceptance testing, documentation, and team training.
  • Coordinate human approvals and escalation paths with the engineer; establish baselines and track adoption and time, cost, or quality improvements; relay user feedback and issues for technical resolution.
  • Serve as the CEO’s operating partner and perform Chief of Staff responsibilities: translate strategic priorities into quarterly plans and weekly commitments, run the company operating cadence, resolve cross-functional obstacles, and ensure decisions have owners, deadlines, and follow-through.
  • Coordinate hiring priorities within the approved budget; help define roles, manage recruiting processes, structure interviews, and onboard new hires.
  • Directly manage assigned operations staff through clear goals, regular one-to-ones, coaching, and performance feedback; work with the CEO and team managers to strengthen accountability.
  • Balance growth initiatives with day-to-day operating needs; clarify responsibilities and decision rights, address execution gaps, and recommend when to automate, simplify, use outside support, or hire.
  • Build company dashboards and prepare weekly business reviews for the CEO and Head of Growth, reporting on revenue, funnel, retention, field-sales activity, data quality, workflow turnaround, and operating efficiency; surface issues and track agreed actions.
  • Coordinate annual and quarterly planning with the CEO and functional owners; maintain operating and financial models, budgets, headcount plans, and forecasts using their inputs; monitor spending and resource trade-offs.
  • Prepare board and investor materials and coordinate with specialist support as needed.
  • During the first 30 days, map sales, marketing, and company workflows; baseline data quality and manual effort; and agree priorities and decision rights with the CEO and Head of Growth.
  • By 60 days, establish a reliable operating scorecard and accountability cadence, improve priority CRM and campaign workflows, and support the engineer’s pilot of a high-value AI agent.
  • By 90 days, support agent rollout and team adoption, measure time or cost savings, support an approved campaign or product initiative through execution and reporting, and document hiring, onboarding, and field-sales processes.
  • Be prepared to discuss a sales or marketing operations improvement, a cross-functional initiative delivered with growth or product colleagues, and an AI-agent rollout delivered with an engineer, including personal contribution, before-and-after operational results, controls, and lessons learned. Sanitized examples are welcome; confidential employer or customer information should not be shared.
