About The Position

The Grant Support Coordinator provides administrative, project management, and compliance support for IINE's public and private institutional fundraising portfolio. Working under the supervision of the Senior Grants Manager, the position helps ensure the timely development, submission, tracking, contract execution, and reporting of public and private foundation and corporate grant proposals and awards. The position coordinates grant workflows, maintains grants management records, assembles proposal and report materials, facilitates contract execution processes, helps prospect for new grant opportunities, and supports compliance with funder requirements. The Grant Support Coordinator collaborates with Advancement, Finance, and Programs to support a high-quality grants program that advances IINE's mission and fundraising goals.

Nice To Haves

  • Experience with Salesforce or another CRM or grants management system preferred.
  • Associate's or bachelor's degree preferred; an equivalent combination of education and relevant experience will be considered.
  • One to three years of experience in nonprofit administration, fundraising, grants management, project coordination, contract administration, or a related field preferred.
  • Experience supporting proposal submissions, grant reporting, contract workflows, or deadline-driven administrative processes strongly preferred.
  • Experience with Salesforce, online grant portals, and electronic document management systems preferred.
  • Experience in a nonprofit, education, healthcare, human services, or other mission-driven organization preferred.

Responsibilities

  • Coordinate proposal development schedules, internal deadlines, and submission requirements.
  • Gather required narratives, budgets, program data, organizational documents, attachments, and other supporting materials.
  • Draft and update standard proposal sections, corporate sponsorship applications, and supporting materials for review by the Senior Grants Manager.
  • Format, proofread, and assemble applications to support accurate, complete, and timely submissions.
  • Enter and update proposal records, deadlines, and submission status in Salesforce and related tracking tools.
  • Maintain grant calendars, electronic files, funder records, and current organizational attachments.
  • Coordinate the internal review, approval, signature, and return of private grant agreements and award documents.
  • Track contract status, required signatures, supporting documents, and completion of approval workflows.
  • Maintain organized electronic records of grant agreements, award letters, amendments, and related documentation.
  • Identify administrative requirements in grant agreements and communicate them to the Public Grant Writer, Senior Grants Manager, and relevant internal partners.
  • Assist with funder documentation, audit, compliance, and information requests as assigned.
  • Monitor private grant reporting deadlines and establish internal schedules for completing required reports.
  • Collect programmatic, financial, demographic, and outcome information from internal stakeholders.
  • Draft, format, proofread, and assemble narrative and financial reports for review by the Senior Grants Manager.
  • Maintain reporting records and submission documentation in Salesforce and electronic grant files.
  • Support funder stewardship communications, updates, acknowledgments, and other post-award requirements.
  • Maintain accurate grant, funder, contact, deadline, award, payment, and reporting data in Salesforce and other systems.
  • Prepare routine reports and dashboards related to proposal activity, awards, contracts, and reporting status.
  • Support grant prospect research and preliminary funder qualification as requested.
  • Coordinate grant-related meetings, materials, follow-up items, and document requests.
  • Participate in Advancement team meetings and support departmental projects and special initiatives as assigned.
