About The Position

The University of Pikeville is seeking a highly organized, student-focused Part-Time Graduate Programming Advisor to support the recruitment, application, admission, registration, and ongoing administrative processes for graduate students across multiple academic programs. The Graduate Programming Advisor will serve as a key point of contact for prospective and incoming graduate students, helping applicants navigate the admissions and enrollment process while supporting University staff and faculty with timely and accurate processing of graduate applications and registration activities. This position requires excellent communication, attention to detail, discretion, and the ability to manage multiple priorities.

Requirements

Bachelor's degree from an accredited institution; relevant graduate education or higher education experience preferred.
Experience in higher education, graduate admissions, student services, academic advising, enrollment management, or a related field.
Strong organizational and administrative skills with exceptional attention to detail.
Excellent written and verbal communication skills.
Ability to manage multiple programs, deadlines, and priorities independently.
Demonstrated ability to provide professional and responsive service to students and applicants.
Proficiency with Microsoft Office or Google Workspace and the ability to learn and use student information, admissions, CRM, and registration systems.
Ability to work effectively and independently in a fully remote environment.
Commitment to maintaining confidentiality and handling sensitive student information appropriately.

Responsibilities

Receive, review, and process graduate program applications in accordance with University policies and established procedures.
Verify application materials for completeness and follow up with applicants regarding missing documentation.
Maintain accurate and up-to-date applicant records in the University's designated systems.
Coordinate with admissions personnel, graduate program directors, faculty, and other University offices as needed to facilitate application review.
Communicate application status, next steps, deadlines, and requirements to prospective students.
Ensure timely processing of applications and related documentation.
Support recruitment efforts for multiple graduate programs.
Respond to inquiries from prospective students by email, phone, and virtual communication platforms.
Provide prospective students with accurate information regarding programs, admission requirements, application procedures, registration, and enrollment.
Participate in virtual information sessions, recruitment events, webinars, and other outreach activities as needed.
Maintain consistent and professional communication with prospective and admitted students throughout the recruitment and enrollment process.
Assist with follow-up and outreach to prospective applicants to encourage completion of the application process.
Assist admitted and continuing graduate students with registration and enrollment processes.
Help students understand registration requirements, deadlines, course availability, and applicable University procedures.
Coordinate with academic departments and University offices to resolve registration or enrollment issues.
Monitor enrollment activity and provide administrative support related to graduate student registration.
Assist with maintaining accurate student records and enrollment information.
Serve as a primary administrative contact for graduate students across assigned programs.
Provide general guidance regarding academic program processes, University policies, deadlines, and available resources.
Refer students to appropriate faculty, academic advisors, financial aid personnel, registrar staff, or other University resources when matters fall outside the position's scope.
Maintain a responsive, professional, and student-centered approach to communication.
Maintain organized electronic records related to applications, recruitment, admissions, and registration.
Prepare routine reports, spreadsheets, tracking documents, and status updates as requested.
Track application and enrollment activity across multiple graduate programs.
Identify process issues and recommend improvements to increase efficiency and enhance the student experience.
Protect the confidentiality and security of student and applicant information in accordance with University policies and applicable regulations.
