About The Position

The Scheduling Coordinator is responsible for coordinating the physician’s, NP and PA’s, device, and patient’s schedules. They are a liaison between the patients, providers, staff, health plans, and the community at large. This position is responsible for front office duties and appointment scheduling as required by the clinic.

Requirements

  • High school diploma or equivalent.
  • Ability to communicate clearly, read and write English.
  • Must have excellent customer service skills.

  • Requires good written and verbal communication skills to communicate effectively with individuals at all levels of the organization.
  • General knowledge of healthcare insurance and terminology

  • Must be able to work in a fast-paced environment and handle multiple tasks, working through interruptions and dealing effectively with confidential information.
  • Excellent telephone etiquette

Nice To Haves

  • At least 1-year of related experience preferred.
  • 1-year previous experience as a Scheduler/Receptionist in a medical office setting.
  • Medical Assistant, Billing, and/or Front Office Management certification from an accredited vocational school liked.
  • MS Word, Excel, and IDX experience is a plus.
  • Bilingual English/Spanish communication skills a plus.

Responsibilities

  • Schedules patient visits per established procedures.
  • Confirms appointments, cancels appointments, and notifies clinical staff of appointment changes.
  • Discusses scheduling conflicts or problems with supervisors.
  • Provides schedule updates during the day.
  • Greets patients and visitors to the medical office and obtains all required information to register the patient.
  • Ensures/assists the patient in completing all forms and routes those forms to the appropriate personnel or department.
  • Inputs registration demographic and insurance information into the computer and ensures proper authorization has been obtained.
  • Reviews current registration information with the patient updating information as required.
  • Determines patient insurance eligibility and routes the information to the appropriate personnel or department.
  • Informing clinical personnel when patients have arrived; routes patient to the appropriate clinical area.
  • Answers incoming telephone calls. Routes calls as appropriate or sets appointments and takes detailed, accurate messages.
  • Responsible for handling and/or completing appropriate messages or phone calls.
  • Answers any patient questions, including simple billing questions.
  • Arrives, Cancels, and No-Shows appointments and documents appropriately in the patient’s medical record.
  • Responsible for collection of outstanding balances as indicated on the encounter ticket.
  • Determines total charges for visits and calculates patient financial responsibility per established policies and procedures.
  • Responsible for the preparation of medical charts for next-day appointments.
  • Maintains compliance with attendance and punctuality policy and proper recording of hours worked.
  • Participates as a team member, demonstrated by utilizing proper chain of command and communicating effectively with providers and co-workers.
  • Participates in staff meetings and maintains a positive attitude.
  • Performs general clerical duties, including faxing, copying, filing, and distributing daily schedules.
  • Responsible for alerting the manager, supervisor/lead of any scheduling errors/issues.
  • Oversees the front area for cleanliness, safety, and continuous awareness of visitors.
