About The Position

RAM Mounts is seeking an organized, professional, and customer-focused Front Office Administrator / Customer Service Support Representative to support both front office operations and external customer service functions. This role is approximately 50% office administration and reception duties and 50% customer service support. The front office portion includes maintaining a welcoming and organized corporate office environment, greeting visitors and walk-in customers, coordinating office activities, stocking supplies and snacks, distributing mail and packages, supporting office events, and assisting with general office operations. The customer service portion includes assisting external customers through ticket management, website Q&A management, tax-exempt form processing, customer inquiry follow-up, order and account research, and other customer-facing support functions. This role requires a professional and friendly attitude, strong attention to detail, and the ability to help resolve customer issues while identifying opportunities to improve the customer experience. As the first impression for clients, visitors, vendors, and staff, the Front Office Administrator plays an important role in creating a welcoming experience at our Seattle office. This position will report to and be supported by the Customer Service Manager.

Requirements

  • 2 years managing a front desk and facilitating office administration preferred
  • Minimum 5 years of experience working with customers to evaluate their needs.
  • Must have a track record of reliability and follow through with great communication & interpersonal skills.
  • Experienced with MS Office Suite, MS Outlook, and customer order entry.
  • Excellent organization abilities
  • Familiarity with office management procedures and basic budgeting principles

Responsibilities

  • Greet walk-in customers, visitors, vendors, and employees in a professional and welcoming manner.
  • Coordinate front office activities and daily office operations as assigned, within NPI procedures.
  • Receive, sort, and distribute incoming mail, packages, and deliveries.
  • Maintain stock of office supplies and assist with budget tracking for general office expenses.
  • Maintain break areas, including coffee machines, snacks, beverages, and general cleanliness.
  • Order and stock snacks, office supplies, and other common-area items as needed.
  • Assist with planning and coordinating office events, employee activities, meetings, and customer visits.
  • Facilitate office maintenance needs, including plant care and filing maintenance tickets.
  • Manage the employee service award gift program, including employee apparel tracking and distribution.
  • Maintain a list of checked-in/out electronic devices for office employee use.
  • Act as the primary liaison between the company, staff, visitors, vendors, and office management.
  • Support interdepartmental communications and general administrative coordination.
  • Perform other office administration duties as assigned.
  • Interact directly and courteously with external customers, primarily by email, website inquiries, and ticketing systems.
  • Manage, review, and respond to customer service tickets to ensure timely follow-up and resolution.
  • Process customer tax-exempt forms and maintain accurate related documentation.
  • Manage website Q&A submissions by reviewing, answering, routing, or escalating questions as appropriate.
  • Direct unresolved customer issues to the appropriate resource for resolution.
  • Record details of customer interactions and actions taken in ERP, CRM, and customer service systems as applicable.
  • Analyze transactions and correct errors to ensure accuracy of customer records.
  • Research customer accounts and order records to track order status, fulfillment, returns, and related inquiries.
  • Develop a thorough knowledge of RAM Mounts products, pricing, estimated delivery times, drop-ship procedures, promotions, and related information.
  • Perform other customer service duties as assigned by the supervisor.
