Requirements

  • Must be fluent in Mandarin, Cantonese, and/or Spanish.
  • 1 year of Front Desk experience at an outpatient primary care or specialty clinic
  • High school diploma or GED required.
  • Strong verbal and written communication skills with the ability to interact professionally with patients, providers, and staff.
  • Experience managing a multi-line phone system, scheduling appointments, and coordinating front desk operations.
  • Proficiency with electronic health record (EHR) systems and maintaining accurate patient information.
  • Knowledge of HIPAA regulations and commitment to maintaining patient confidentiality.
  • Strong organizational skills with excellent attention to detail.
  • Ability to prioritize multiple tasks and work effectively in a fast-paced environment.
  • Customer service-oriented with a professional and compassionate demeanor.

Responsibilities

  • Greet patients and visitors, provide exceptional customer service, and assist with the check-in and check-out process.
  • Answer and manage a multi-line phone system, directing calls appropriately and taking accurate messages for providers and staff.
  • Schedule, reschedule, and confirm patient appointments while maintaining provider calendars.
  • Verify patient demographics, insurance information, and eligibility, ensuring accurate documentation in the electronic medical record (EMR).
  • Collect co-pays, payments, and other patient financial responsibilities in accordance with office procedures.
  • Provide accurate information to patients, visitors, pharmacies, and healthcare providers via phone, email, and in person.
  • Submit treatment authorization and referral requests as needed.
  • Prepare, organize, and maintain patient records and documentation for scheduled visits.
  • Respond to patient, physician, and pharmacy inquiries and ensure timely follow-up.
  • Maintain a clean, organized, and professional reception area.
  • Support office operations by performing clerical duties, including filing, scanning, photocopying, faxing, and document management.
  • Follow office policies and procedures to maintain patient confidentiality, office security, and HIPAA compliance.
  • Collaborate with clinical and administrative teams to support efficient daily operations.
  • Perform other duties and special projects as assigned.
