About The Position

Acts as the main contact person at the front desk, answers all calls coming into the switchboard, greets visitors, sorts incoming mail, meters outgoing mail, and provides administrative support to various departments. This role also involves managing activities for the safety, integrity, legality, and quality of food products, ensuring compliance with all company policies, procedures, and quality management systems.

Requirements

  • High School diploma required.
  • Minimum 2 years administrative experience.
  • Excellent computer skills in a Microsoft Windows environment.
  • Proficiency in Microsoft Office Products.
  • Data Entry Skills.
  • Demonstrated skills in database management and record keeping.
  • Effective oral and written communication.
  • Evidence of the practice of a high level of confidentiality.
  • Excellent organizational skills.

Responsibilities

  • Manage activities for the safety, integrity, legality, and quality of food products.
  • Answer multi-line phone and route incoming calls.
  • Greet vendors, customers, job applicants, and other visitors.
  • Maintain visitor log.
  • Sort incoming mail.
  • Meter outgoing mail and replenish postage as necessary.
  • Schedule meetings, conference calls, and conference rooms.
  • Provide a variety of administrative support duties to various departments.
  • Ensure internal reception back-ups are trained appropriately on multi-line phone and other front desk procedures.
  • Update and distribute phone directories as necessary.
  • Order office supplies as well as special supply orders as requested.
  • Restock office supplies area.
  • Call in lunch orders for employees as requested.
  • Work with courier services to request pick-ups.
  • Call for taxi service when requested for visitors.
  • Follow all safety procedures and participate in safety training.
  • Maintain safe and efficient use of equipment, tools, and PPE.
  • Report any injury, accident, or unsafe condition immediately to supervisor.
  • Support product safety, quality, and legality.
  • Support and comply with all quality management systems, continuous improvement programs, food safety, employee safety, preventative maintenance programs, and legality.
  • Support and comply with GMPs.
  • Follow all company policies and procedures.
  • Perform other duties as assigned.
