About The Position

Oregon State Treasury is recruiting for the position of full-time Front Desk Receptionist. The primary purpose of this position is to provide receptionist services and clerical support to the entire agency.

Requirements

  • One year of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR An equivalent combination of experience and college coursework or training in a general office occupation.

Nice To Haves

  • This position works a standard business day schedule, Monday – Friday, 8:00am – 5:00pm, providing primary reception coverage, therefore regular and predictable attendance and punctuality is an essential function and a must
  • Professional work experience as a Receptionist, Administrative Assistant, and/or Executive Assistant
  • Attention to detail, such as accuracy, spelling, grammar, document formatting, and data entry
  • Professional work experience with greeting reception guests, answering incoming telephone calls, and scheduling meetings
  • Bi-lingual in English and Spanish, fluent with reading, writing, and oral communication.
  • Proficiency with Microsoft Office Suite, especially with Outlook, Word, and Excel
  • Professional work experience with copying, faxing, creating and organization documents, and organizing and maintaining files

Responsibilities

  • Serves as the part-time receptionist for Treasury’s main Salem office.
  • Answers the telephone, routes callers to appropriate person, takes complete and accurate messages, and/or responds to questions from callers.
  • Provides assistance to the public and other customers coming to the Treasurer's office.
  • Provides and collects ID badges for both staff and Treasury visitors, and maintains log.
  • Signs for deliveries and alerts appropriate person of delivery.
  • Acts as Accountability Monitor in the event of a building disaster during business hours.
  • Submits janitorial requests using the Tririga System.
  • Assists in Processing and sorting of incoming and outgoing mail.
  • Prepares, maintains, and updates a variety of correspondence, lists, reports, and documents.
  • Participates and provides input in divisional and/or agency-wide task forces/committees.
  • Maintain office supply inventory.
  • Assistant walk-in customers with questions about Trust Property
  • Provides assistance to public with setting up a claim or with an update on an existing claim.
  • Work with Trust Property to maintain current open Estates Lists for mail processing.
