About The Position

The Front Desk Receptionist is responsible for managing patient appointments, ensuring all necessary paperwork is completed and entered into the practice management software, and maintaining a neat and tidy office environment. This role requires excellent customer service skills to help patients feel comfortable and at ease. The receptionist will also assist the dentist and co-workers as needed, handle general office management tasks, and ensure efficient patient flow. A key aspect of the role is managing the appointment schedule to the satisfaction of both patients and service providers, and notifying service providers of patient arrivals. The receptionist will also be responsible for scanning patient documents, verifying insurance eligibility, and handling Spanish calls and scheduling interpreters for Spanish-speaking patients.

Requirements

  • High school diploma.
  • Minimum one year of experience in an appointment scheduling position.
  • Experience preferably in a dental practice setting.
  • Experience with insurance.
  • Experience with NC Tracks.
  • Knowledge of dental practice protocols related to scheduling appointments.
  • Knowledge of manual/computerized scheduling systems.
  • Knowledge of customer service principles and techniques.
  • Skill in communicating effectively with Dentist and Dental Assistants about scheduling preferences.
  • Skill in maintaining master appointment schedule via manual or computerized means.
  • Skill in producing reports about appointment patterns as needed.
  • Ability to multitask effectively, dealing with phone calls, in-office patients, staff, and others pleasantly.

Responsibilities

  • Scheduling patient appointments either in person or over the telephone.
  • Maintaining the Appointment Book and following up on no-shows/cancellations.
  • Checking voicemail on a daily basis.
  • Ensuring patients fill out all necessary paperwork and entering information into the practice’s management software.
  • Gathering signatures and permissions for information storage and procedure approval.
  • Confirming upcoming appointments in advance.
  • Keeping appointments on schedule by notifying the service provider of patient arrival.
  • Scanning patient-related documents into the system.
  • Verifying patient insurance eligibility and visit frequency.
  • Assisting the dentist and co-workers when needed.
  • General office management, including sending mail, answering phones, posting memos, and compiling end-of-day reports.
  • Keeping the office waiting area neat and tidy.
  • Being pleasant, helpful, and upbeat to help clients relax.
  • Maintaining the scheduling system for accurate records and analysis of patient/staffing patterns.
  • Inputting updates (cancellations or additions) into the master schedule daily.
  • Taking messages for providers and handling all Spanish calls.
  • Providing Sliding Fee calculation support and adhering to SFS policy guidelines.
  • Acting as Scanning Lead.
  • Consulting with the office manager on scheduling issues.
  • Scheduling NP appointments and others as needed.
  • Performing confirmation calls.
  • Maintaining a confirmed schedule.
  • Setting up patient insurance information in the practice management system, verifying eligibility and limitations, batching insurance claims, and submitting prior authorizations.
  • Managing Lab Case schedule.
  • Ordering office supplies to the office manager.
  • Taking patient identity photos.
  • Updating patient paperwork as required.
  • Documenting all conversations pertaining to treatment and complaints.
  • Scheduling interpreters for Spanish patients.
  • Performing other assigned tasks per the office manager’s request.
