About The Position

Front Desk Clerk provides superior service to all residents and guests, responsible for managing the front desk, greeting visitors, answering phone calls, and performing administrative tasks including but not limited to scheduling appointments, sorting mail, maintaining office supplies, filing and data entry. This role ensures smooth day-to-day operations and resolves various front office issues and complaints.

Requirements

  • Clear, concise, excellent verbal and written communication skills are essential
  • Ability to provide friendly and professional service
  • High proficiency with Microsoft Office Suite (Word, Excel, Outlook) is highly required
  • Ability to manage multiple tasks simultaneously and maintain an organized work area
  • Accuracy in scheduling, record-keeping, and other tasks
  • Maintaining a positive and professional demeanor in all interactions
  • Adaptable and resourceful self-starter with a positive, can-do attitude
  • Minimum high school diploma or GED
  • Happy energetic personality
  • Sitting for extended period of time
  • lifting up to 25 lbs.

Responsibilities

  • Welcoming visitors, providing directions, and ensuring a positive first impression
  • Answer incoming calls in a cordial, professional and timely manner
  • Scheduling meetings, sorting and distributing mail, and filing records
  • Maintaining the reception area, ordering supplies, and assisting with other administrative tasks
  • Resolve various front office issues and complaints
  • Coordinate office equipment maintenance with vendors
  • Record maintenance work orders and assist with monthly invoices/inspections
  • Coordinate gatehouse access, transponders and decals
  • Post documents to resident's homes
  • Provide support with data entry and complete template for monthly newsletter
  • Keep Community Manager informed of any issues or incidents that occur and may need to be acted upon
  • All other duties as assigned
