About The Position

As a Front Desk Administrator, you will serve within our ministry by assisting with day-to-day administrative and operational support for clients, staff, volunteers, and donors. This role provides administrative support to several leaders and works with employees at all levels to complete projects of a complex and confidential nature. You will greet and provide quality services to clients, donors, and volunteers upon arrival, utilize the client management system to track client services, and ensure the safety of clients and employees by monitoring visitors and/or guests entering the building. You will also ensure appropriate client supervision and compliance with policies, assist with preparing for special events and training (e.g., purchasing supplies, ordering food, set up), and enter maintenance work orders. Additionally, you will answer the front desk telephone and direct calls, respond to routine correspondence, analyze problems and prepare recommendations, coordinate activities between departments, and perform various clerical duties such as data entry, filing, taking messages, recording meeting minutes, sorting mail, desktop publishing, copying, and scheduling appointments. You will also assist with coding and submitting invoices and credit card statements, order and disperse office supplies, prepare and maintain weekly service and statistical reports, respond to inquiries or complaints, assist with medical or mental health emergencies as needed, de-escalate client conflict, and train volunteer receptionists. You will work closely with the volunteer department to ensure volunteers are scheduled and calendars are created.

Requirements

  • Strong computer literacy in MS Office applications with concentration in Excel and PowerPoint, and experience working in a donor database, Salesforce experience preferred
  • Able to thrive in a fast-paced environment where multitasking is constant
  • Good organizational, interpersonal, communication, and time management skills
  • Diligent and reliable in following through on commitments
  • CPR and First Aid Certification obtained within 90 days after hired
  • Valid driver’s license, good MVR, and must be older than 21 years of age to drive company vehicles

Responsibilities

  • Receives and responds to routine correspondence following established procedures not requiring management review
  • Analyzes problems, determines possible effective solutions, compiles and analyzes data, and prepares recommendations
  • Coordinates activities between departments and outside parties
  • Performs a variety of clerical duties, including, but not limited to data entry, filing, taking messages, recording and transcribing meeting minutes, sorting and distributing mail, desktop publishing, correspondence, copying, scheduling appointments, etc.
  • Assists with coding and submitting invoices and credit card statements
  • Orders, monitors, and disperses office supplies
  • Prepares and maintains weekly service and statistical reports
  • Responds to inquiries or complaints from clients, volunteers, agencies, or the business community
  • Assists with medical or mental health emergencies as needed
  • Assists with de-escalating client conflict
  • Trains volunteer receptionists
  • Works closely with volunteer department to ensure volunteers are scheduled and calendars are created
