About The Position

The Fiscal Assistant III is responsible for a variety of financial and administrative tasks within the department. This includes managing purchase orders, contracts, and invoices, performing financial reconciliations, ensuring compliance with guidelines, and processing various financial transactions. The role also involves coordinating travel arrangements, processing reimbursements, managing departmental forms and systems, and assisting with grant management. Additionally, the position requires serving as back-up to coworkers, cross-training, attending meetings, and performing other related duties as assigned.

Requirements

  • High school diploma or equivalent.
  • Five years of general accounts transaction experience.
  • Appropriate college course work or vocational/technical training may substitute at an equivalent rate for the required experience.
  • Excellent communication skills.
  • Strong computer skills in PeopleSoft, Word, Excel, Outlook, PowerPoint, and Adobe.
  • Ability to work in a rapidly changing work environment.
  • Ability to plan, prioritize, organize, and coordinate work assignments with an acute attention to detail.
  • Ability to work on multiple assignments simultaneously.
  • Ability to work under pressure and meet multiple deadlines.
  • Analytical problem-solving capabilities; ability to identify/analyze problems quickly and develop solutions that best meet the objectives of the department and clinics.

Nice To Haves

  • Bachelor’s degree.
  • Experience with budget management, accounts payable, financial and accounting systems.
  • Experience in a university environment (sufficient to make informed judgments about priorities of problems to be bring to the supervisor's attention).
  • Working knowledge of UF policies and procedures.

Responsibilities

  • Creating and maintaining purchase orders and contracts.
  • Processing invoices for services, goods, etc.
  • Obtaining quotes for assets, researching equipment and supplies.
  • Performing financial reconciliation at tier 1.
  • Ensuring all expenditures are in compliance with federal, state, UF, and sponsoring agency guidelines.
  • Reconciling and reviewing P-card charges.
  • Researching, analyzing, and resolving transaction problems on all accounts.
  • Developing and monitoring budgets.
  • Preparing financial summaries and reports.
  • Processing Visa and attorney fees.
  • Setting up and maintaining vendor information.
  • Coordinating travel arrangements, processing travel authorizations and expense reports.
  • Processing generic employee reimbursements.
  • Receiving and processing departmental expenditure and travel request forms.
  • Creating departmental fiscal forms/systems.
  • Maintaining departmental computer inventory.
  • Managing department daily/annual asset management.
  • Processing honorariums.
  • Liaising between outside vendors and the UF Foundation.
  • Managing department grants, both pre-award and post-award.
  • Liaising between faculty and research administration during proposal development and submission.
  • Ensuring project expenditures are allowable and provide proper justification.
  • Assisting faculty with progress reports, center reports, and close-out documents.
  • Preparing and submitting department annual space report.
  • Serving as back-up to coworkers.
  • Cross-training with department and college staff.
  • Attending meetings as appropriate.
  • Performing other related duties as assigned.
