About The Position

The University of Toronto Mississauga (UTM) is the university's second-largest division, with 17 academic departments offering 156 programs. It serves approximately 15,000 students and over 1,000 faculty and staff. The campus is home to the Mississauga Academy of Medicine, Centre for Medicinal Chemistry, and Institute for Management and Innovation. UTM is known for its interdisciplinary programs like forensic sciences and biomedical communications, as well as its continuing education and professional master's programs. The Institute of Communication, Culture, Information and Technology (ICCIT) at UTM is dedicated to teaching and research excellence in its four undergraduate programs: Communication, Culture, Information and Technology; Digital Enterprise Management; Technology, Coding and Society; and Professional Writing and Communication. Students in these programs share interests in new and social media, digital media and culture, communication strategies for organizations, and new media design and research. This role reports to the Department Manager and will provide essential financial administrative support to the Institute. The incumbent will be responsible for processing transactions, monitoring and reconciling accounts, gathering documentation for payroll, assisting with purchasing and procurement, and preparing financial reports. A key aspect of this role is ensuring compliance with the University's Guide to Financial Management and research sponsor guidelines.

Requirements

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum three years of relevant financial and/or administrative experience, preferably in a University environment, including experience with FIS, HRIS, RIS, MROL or related systems.
  • Experience reporting, monitoring, reconciling, and analyzing financial activity and payroll distribution, including preparing financial reports
  • Experience working with the University of Toronto's Guide to Financial Management (GTFM) or similar, including its financial and procurement processes.
  • Experience dealing with a large volume of transactions and responding to inquiries in a professional manner.
  • Demonstrated high level of attention to detail and ability to maintain accuracy under pressure of deadlines.
  • Ability to multitask and manage deadlines.
  • Demonstrated understanding of financial management procedures, accounting principles and procedures, and an ability to accurately interpret and apply guidelines, procedures and regulations on a variety of tasks.
  • Demonstrates professionalism, ensuring complete confidentiality of sensitive and confidential information.
  • Ability to work independently as well as in a team environment.
  • Proficient with Microsoft Office, including Advanced skills in Excel.
  • Excellent analytical, problem-solving, organization and time management skills.

Responsibilities

  • Recording detailed transactions for many accounts
  • Monitoring, recording, reconciling and/or reporting on funding accounts for grants and contracts
  • Verifying the accuracy and completeness of information
  • Identifying and analyzing data discrepancies and taking necessary actions to correct errors
  • Providing advice and data to support the development of business cases and analytics for departmental initiatives
  • Collecting supporting documentation required for accounting, payroll and/or HRIS processing
  • Applying the University Guide to Financial Management and other applicable policies, agency and regulatory requirements
