About The Position

LifeGift is seeking a Finance Support Administrator to provide high-level personalized, reliable support to the Manager of Administrative Support and to the Senior Executive Vice President & Chief Financial Officer. This role involves handling information requests, preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The administrator will also manage reservations and accommodations, assist the CFO during financial audits by overseeing timely completion of correspondence and audit follow-up, and update the CMS portal. Monthly, they will coordinate with the administrative support team to document all charges on accounts for cards, ensuring sufficient documentation for the Accounting team to pay before the due date. Additionally, the role includes assisting the IT team in maintaining a list of company-issued computer equipment and ensuring the confidentiality of all assigned tasks. This is an on-site role.

Requirements

  • Five years or more related experience and/or training.
  • Experience in the medical industry preferred.
  • Computer literate and knowledgeable of various software packages including Microsoft Office.
  • Command of the English language and ability to clearly convey information to business contacts and other employees over the phone or in person.
  • Associates degree required.

Nice To Haves

  • Familiar with medical terminology is preferred.
  • Bachelor’s degree preferred.
  • Experience in the medical industry preferred.

Responsibilities

  • Provides high-level administrative support handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
  • Handles reservations and accommodation.
  • Assists the CFO during all financial audits by overseeing timely completion of all correspondence and audit follow-up, and updates CMS portal for CMS form 855.
  • Monthly coordinates with other administrative support team to provide documentation of all charges on account for all cards and ensures sufficient documentation is provided to Accounting team in order for the card is paid before due date.
  • Assists in maintaining the corporate filing system in QPulse for all contracts.
  • Assists the IT team in maintaining a listing of all company issued computer equipment.
  • Must ensure confidentiality of assigned tasks.
