About The Position

The Finance Assistant provides administrative and clerical support to the finance and office operations of VMSC Emergency Medical Services. This position is responsible for processing incoming mail, scanning and organizing financial documents, performing data entry, and assisting with accounts payable functions within QuickBooks Online (QBO). The ideal candidate is detail-oriented, organized, dependable, and comfortable working with routine office and accounting procedures in a professional environment.

Requirements

  • High school diploma or equivalent required
  • Basic computer skills, including familiarity with scanners and data entry
  • Proficiency with Microsoft Office (Word, Excel, Outlook) or similar software
  • Strong organizational skills and attention to detail
  • Professional communication skills, both verbal and written
  • Ability to maintain confidentiality of financial and organizational information

Nice To Haves

  • Prior office, administrative, or bookkeeping experience preferred
  • Experience with QuickBooks Online (QBO) or similar accounting software preferred
  • Basic understanding of accounts payable or invoice processing is a plus

Responsibilities

  • Receive, sort, and open incoming mail; distribute items to appropriate staff
  • Scan documents and upload files to designated electronic folders or systems
  • Perform basic data entry with accuracy and attention to detail
  • Assist with accounts payable tasks, including entering invoices into QuickBooks Online (QBO)
  • Maintain organized electronic and/or physical filing systems
  • Assist with invoice tracking, vendor documentation, and financial record maintenance
  • Support finance department staff with routine administrative and clerical duties
  • Assist with general office support tasks as needed
