About The Position

We are seeking a highly organized, dependable, and proactive Field Operations Coordinator to support our growing real estate investment, property management, and mobile home development operations. This position serves as the bridge between the office, properties, contractors, government agencies, attorneys, title companies, and tenants. The ideal candidate enjoys being out in the field, solving problems, taking initiative, coordinating moving parts, and ensuring projects stay on track. This is not a desk job—successful candidates will be self-motivated, detail-oriented, and comfortable working independently throughout the day.

Requirements

  • Valid driver's license and reliable vehicle.
  • Physical ability to take on minor home improvement and maintenance tasks.
  • Strong organizational and time-management skills.
  • Ability to work independently with minimal supervision.
  • Comfortable using smartphones, email, Google Drive, and photo documentation apps.
  • Strong communication and problem-solving abilities.
  • Detail-oriented with the ability to identify issues before they become problems.
  • Ability to lift up to 30 pounds and work outdoors in varying weather conditions.

Responsibilities

  • Place and retrieve lockboxes at properties.
  • Coordinate key placement and access for contractors, vendors, and tenants.
  • Conduct property photo documentation and inspections.
  • Perform rental inspections with tenants.
  • Complete move-out inspections after tenants vacate.
  • Conduct periodic vacant property checks.
  • Install property signage as directed.
  • Conduct showings for prospective tenants.
  • Verify contractor attendance and project progress through site visits and photos.
  • Identify and report maintenance issues, safety concerns, unusual odors, property damage, or other problems requiring attention.
  • Identify and resolve minor property issues without requiring detailed direction.
  • Maintain property cleanliness and curb appeal, including removing litter and debris.
  • Perform basic maintenance tasks such as replacing light bulbs, smoke detector batteries, and other simple items.
  • Address environmental concerns by implementing practical solutions (e.g., odor control, light cleaning, and organization).
  • Assess on-site conditions and take initiative to resolve issues within established guidelines.
  • Escalate larger maintenance concerns to the appropriate team members when necessary.
  • Verify site staking and lot preparation.
  • Measure mobile home exteriors and site dimensions.
  • Photograph the project progress throughout setup and installation.
  • Deliver permit packets and project documents.
  • Pick up MCOs (Manufacturer's Certificates of Origin) and supporting paperwork.
  • Confirm inspections have been scheduled, posted, and completed.
  • Follow up with county and municipal offices regarding permits and approvals.
  • Record affidavits and legal documents with the Register of Deeds offices.
  • Deliver paperwork to tax offices, permitting departments, attorneys, and government agencies.
  • Send certified mail related to legal and property management matters.
  • Deliver and retrieve checks and payments.
  • Pick up the original signed documents.
  • Coordinate and obtain notarizations when required.
  • Transport documents between attorneys, title companies, contractors, vendors, and company offices.
  • Meet vendors and contractors on-site.
  • Deliver payments and project documents.
  • Verify project milestones and provide photo updates.
  • Communicate field observations and project status to management.
