The Facilities Manager oversees the daily operation, maintenance, safety, and improvement of facilities across Catholic Charities’ diverse portfolio, including administrative offices, community service centers, food distribution sites, and residential or shelter environments. This role manages facilities personnel and external vendors, ensures all agency locations remain safe and functional, and balances hands on problem solving with preventive maintenance, project coordination, vendor management, and long term facilities planning.

Requirements

  • High school diploma or G.E.D.
  • Three (3) years of experience in facilities management, building operations, property management, construction, office management, or related field.
  • At least two (2) years of experience in a leadership role overseeing maintenance, building services, or facilities personnel.
  • Valid Texas Driver’s License and ability to travel regularly between agency locations.
  • Strong knowledge of commercial building systems, including HVAC, electrical, plumbing, life safety systems, security hardware, and general building maintenance.
  • Demonstrated experience managing contractors, vendors, work orders, bids and multiple operational priorities across multiple locations.
  • Comfortable working in facilities that serve vulnerable populations, including shelter and residential environments.
  • Excellent organizational, communication, and problem solving skills.
  • Ability to prioritize multiple tasks and respond to urgent facility needs outside normal business hours when required.
  • Proficiency in Microsoft Office and comfort with facility related software.
  • Ability to maintain accurate records and handle confidential information.
  • Strong interpersonal skills and ability to work effectively with staff, vendors, volunteers, and external partners.
  • Ability to work in both office and field environments, including shelter settings.

Responsibilities

  • Lead, supervise, schedule, and develop Building Services and facilities personnel, establishing clear work priorities, service expectations, and accountability.
  • Maintain and oversee the agency’s work order system, ensuring timely resolution of maintenance and repair requests.
  • Conduct regular site inspections to proactively identify maintenance, safety, operational, and facility related issues across multiple agency locations.
  • Oversee preventive and corrective maintenance of HVAC, electrical, plumbing, lighting, building systems, doors, locks, fixtures, and related infrastructure.
  • Develop and maintain preventive maintenance schedules for major building systems and equipment, ensuring reliability and compliance.
  • Coordinate emergency repairs and respond to urgent facility issues as needed, including after hours situations.
  • Supervise routine building services including janitorial operations, trash removal, grounds upkeep, parking areas, and general building repairs.
  • Maintain accurate records of inspections, maintenance activities, repairs, warranties, and equipment inventory.
  • Coordinate and oversee contractors, maintenance providers, and service vendors; obtain bids and quotes; support competitive procurement; monitor vendor performance, timelines, scope, quality, and costs; verify completion of work before approving invoices.
  • Manage agency automobiles, including weekly maintenance, repairs, inspections, licensing, and ensuring vehicles meet agency and insurance requirements.
  • Maintain and support fire life safety systems, emergency preparedness, inspections, access control, and security systems; investigate security issues and coordinate repairs of security hardware.
  • Assist with department budgets, forecasts, capital replacement planning, and cost saving strategies; recommend improvements that enhance reliability, safety, efficiency, and service quality.
  • Ensure facilities operations comply with agency policies, regulatory requirements, program standards, and ORR requirements for federally funded programs.
  • Manage distribution and tracking of keys, access cards, and pass codes, ensuring proper security protocols.
  • Coordinate renovations, repairs, moves, furniture installations, equipment replacement, and small capital projects; support planning for larger construction and capital improvement initiatives.
