About The Position

The Facilities Maintenance Coordinator is responsible for preventative maintenance, troubleshooting, diagnostic, and repair work for all Agency locations. The coordinator utilizes a general knowledge of commercial and/or residential HVAC, carpentry, electrical, plumbing, light construction, painting, and grounds keeping ensuring the comfort and safety of the clients, visitors, and staff through proper repair and maintenance of the building facilities, equipment and vehicles. The Facilities Maintenance Coordinator manages the bidding process for various services and assures all facilities, security systems, grounds and other physical assets are properly selected, procured, secured and managed with 100% regulatory compliance. Requirements

  • Detailed knowledge of systems in all facilities including but not limited to HVAC, plumbing, electrical, air handling, building and security systems. The ability to troubleshoot system failures is required.
  • Human relations and communications skills are needed to maintain positive working relations with employees, volunteers, visitors, outside vendors, suppliers, and contractors.
  • Ability to interpret documents such as safety rules, operating and maintenance instructions, procedure manuals, and ability to write routine reports and correspondence.
  • Knowledge of trades related to building maintenance and repair.
  • Knowledge of machines and tools including, but not limited to, the design, use, repair process, and maintenance.
  • Knowledge of a variety of building maintenance procedures and techniques.
  • Knowledge of occupational hazards and safety precautions.
  • Skill in reading and following blueprints and assembly instructions.
  • Skills in following safety practices and recognizing hazards.
  • Skill in using hand and power tools.
  • Ability to communicate effectively, both orally and in writing.
  • Working knowledge of PC operations and software is required.

  • Ability to lift minimum 50 pounds (tools and supplies).
  • Ability to climb ladder and step ladder.

  • This position requires reliable transportation as drives for agency business.
  • Must have a valid driver’s license and good driving record with zero work restrictions.
  • Must have personal auto insurance as required by law with minimum bodily injury coverage limits of $250,000 per person/$500,000 per incident or $500,000 combined.
  • Must be willing to work irregular hours including evenings, holidays, and weekends.
  • Must submit to agency approved background checks.

Nice To Haves

  • A 2-year technical trade-related field and/or bachelor's degree is preferred.
  • A minimum of 1 year of prior work experience in HVAC is preferred.
  • An HVAC Certification is preferred.

Responsibilities

  • Identifies, negotiates and manages facility contractors that offer valued partnerships and cost savings.
  • Coordinates the bidding for various services and assures all facilities, security systems, grounds and other physical assets are properly selected, procured, secured and managed with 100% regulatory compliance.
  • Ensures all agency /office leases and equipment warranties are current, accessible and managed with compliance to legal requirements as issued in leases.
  • Manages annual budget for day-to-day facilities operations, grounds, vehicles and other physical assets as well as capital expenditures. Reviews and completes check requests for the Finance Department.
  • Manages Agency fleet program including maintenance, repairs, vehicle tracking system and roadside assistance.
  • Files and coordinates insurance claims.
  • Ensures that vehicle registrations and insurance documentation are current and up to date in Agency fleet.
  • Manages building automation systems including door access, lighting, HVAC, and security systems.
  • Performs preventative maintenance duties including visual inspections, repairs, cleaning, testing, and diagnostic work of equipment and systems.
  • Troubleshoots maintenance problems involving HVAC, electrical, structural, plumbing, and equipment repair or replacement.
  • Assists with maintaining Agency Safety Data Sheet program.
  • Purchases supplies, equipment, and materials utilizing Agency issued credit card.
  • Documents all equipment maintenance and repairs, maintains work order records, work logs and reports.
  • Performs minor electrical maintenance to include but not limited to replacement or repair of fixtures.
  • Reconfigures, installs, positions, and remounts' modular offices and space (e.g. furniture, wall panels, work surfaces, storage bins, lighting, file cabinets, etc.) to accommodate user needs and maximize office space using various hand, power and specialty tools, dollies and hand trucks.
  • Repairs building components such as doors, windows, walls, flooring, appliances, fixtures, etc. as required.
  • Coordinates in the establishment of new Agency locations and the decommissioning of closed Agency locations.
  • Paints interior and exterior walls as needed.
  • Monitors the fire and safety integrity of the facilities by operating and testing the emergency and fire safety systems.
  • Responds to all building and life safety emergencies. Participate in fire drills and alarm tests as required.
  • Performs quarterly inspections of all facilities, operating systems, grounds and other agency assets in cooperation with the Director of Quality and Compliance and HR in accordance with OSHA and accreditation standards. The status of maintenance and operability of mechanical and other systems will be part of this inspection process.
  • Drives and maintains Agency vehicle for business.
  • Performs other special assignments at the supervisor’s request.
