About The Position

Skanska is seeking a Facilities Administrator to work in its Building Services OU on a long-term Ministry of Defence PFI contract near Watford. The team provides complete facilities management for non-military support, including soft and hard services. The role coordinates and manages reactive maintenance trackers and records using information management systems, databases and a CAFM system. It also supports contractual performance monitoring, reporting, documentation and evidence of compliance for clients and stakeholders.

Requirements

• Communicate clearly by preparing documents and reports that present data in a precise and understandable way.
• Experience using CAFM databases, such as Concept Evolution.
• High level of proficiency with Microsoft Excel and experience using O365 applications.
• Ability to understand complex issues and problems and develop practical, pragmatic solutions.
• Experience working in teams with a flexible and constructive attitude.

Responsibilities

• Manage, review and apply contractual KPI triage to reactive maintenance tasks to support critical task management and monthly reporting.
• Process paper and electronic records and documentation associated with A&E operational delivery activities.
• Issue, receive and file A&E operational completion paperwork and reports.
• Maintain electronic and paper filing structures to support contractual evidence of compliance for stakeholders and the client.
• Prepare reactive maintenance data for trend analysis and monthly dashboards to support performance monitoring and reporting.
• Provide accurate management reporting on A&E operational delivery and contractual reporting requirements for the client and Skanska OU.
• Run reports and produce management information from the CAFM system and other IT platforms.
