About The Position

Wells Fargo is seeking a seasoned Executive Specialist to support the Chief Financial Officer (CFO) for its WIM organization. Based on the executive floor, this position serves as a visible, trusted extension of the CFO and team, combining flawless execution with sound judgment, executive presence, and the ability to build durable relationships across the enterprise. The role requires discretion with sensitive business, talent, organizational, and regulatory information, as well as the ability to represent the CFO’s office credibly with directors, regulators, and senior external stakeholders. The Executive Specialist provides high-level executive administration, including strategic calendar stewardship, domestic and international travel coordination, preparation and proofreading of executive reports and communications, expense administration, and professional handling of calls and inquiries. The role anticipates executive needs, prepares materials and logistics in advance, captures and follows up on meeting actions, identifies risks before they become problems, and helps ensure deliverables close on time. Additional responsibilities include maintaining relationships across executive and Finance teams, improving office procedures and controls, coordinating hiring logistics and employee-management workflows, and leading or supporting projects such as offsites, town halls, team events, and recognition activities. The position requires independent judgment, collaboration with internal and external stakeholders, and attention to business policies, procedures, and compliance requirements. The required work location is 30 Hudson Yards, New York, NY. Relocation assistance and visa sponsorship are not available. The role is subject to FINRA background screening and ongoing regulatory requirements.

Requirements

  • Strong organizational, multitasking, and prioritization skills, including effectiveness in a fast-paced, deadline-driven environment.
  • Ability to work independently, anticipate needs, and exercise sound judgment.
  • Excellent verbal, written, and interpersonal communication skills.
  • Ability to work effectively across organizational levels and demonstrate flexibility, collaboration, and adaptability.
  • Travel reservation and expense reporting experience.

Nice To Haves

  • Extensive experience supporting C-suite or direct C-1 executives in a large, complex, regulated organization; financial services experience is strongly preferred.

  • Maintain a rolling 2–4-week view of business and Finance cadences, including portfolio reviews, planning meetings, Finance Leadership meetings, and budget cycles.
  • Anticipate upcoming needs by compiling pre-reads, preparing materials, confirming travel logistics in advance, capturing follow-up items, and tracking them through closure.
  • Identify and surface scheduling conflicts, missing materials, and slipping deliverables before they become problems.
  • Build and maintain working relationships with executives’ direct reports, peer Executive Assistants, Finance Leadership Team members, and external counterparts.
  • Represent the CFO’s office with polished verbal and written communication, professionalism, calm under pressure, and sound judgment.
  • Handle highly confidential business, talent, organizational, and regulatory information with discretion.
  • Coordinate domestic and international travel, including reservations, updates, and itinerary changes.
  • Prepare, create, update, and proof executive-level reports and written communications.
  • Attend select meetings to capture action items, track owners, and follow up until items are closed.
  • Establish, implement, and continuously improve office procedures, controls, processes, and tools.
  • Recommend resolutions to complex situations and exercise independent judgment while developing understanding of business functions, policies, procedures, and compliance requirements.
  • Collaborate with peers, colleagues, managers, and internal and external stakeholders to resolve issues and achieve business goals.
  • Track, submit, review, and facilitate approval of expenses for executives and their direct reports.
  • Coordinate employee-management systems and tools as a proxy, including technology access requests, approvals, and onboarding support.
  • Coordinate full-cycle hiring logistics for the executives’ organizations, including interview scheduling, panel logistics, interview materials, and offer-stage candidate experience.
  • Manage inbound phone calls, correspondence, and stakeholder inquiries, ensuring timely and professional responses.
