About The Position

This is a full-time, temporary position through the 2027 session. The role involves serving as a receptionist, greeting and routing visitors, answering and routing incoming calls, maintaining appointment calendars, preparing itineraries, and scheduling meetings and conference calls. The Executive Secretary will also type correspondence, memos, and reports, reviewing all typed materials for grammar, punctuation, and content. This position assists in the preparation of special reports, research assignments, and projects, and supports the supervisor with daily administrative duties, acting in matters where authority has been delegated. Responsibilities include preparing confidential correspondence, securing information for replies, performing general office duties, maintaining adequate office supplies, completing research assignments, maintaining files of office correspondence, research materials, and client information, and processing, screening, and distributing incoming mail, as well as preparing replies to routine correspondence for signature.

Requirements

  • A high school diploma or its equivalent
  • Two years of secretarial and/or clerical experience
  • College education can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience.
