Executive Personal Assistant

Argon Agency•West Palm Beach, FL
•$60,000 - $85,000

About The Position

We are seeking an exceptional Executive Personal Assistant to serve as the right hand, strategic sounding board, and organizational force behind a high-profile, creative marketing executive. This is not a traditional executive assistant position; the role supports an entrepreneurial creative whose work spans marketing, business development, creative direction, client relationships, and personal commitments. The assistant will bring clarity and structure to a fast-moving environment where priorities and days vary. The ideal candidate is a strategic thinker, meticulous organizer, creative collaborator, and trusted confidant who enjoys taking responsibility and anticipating needs. The role goes beyond calendar management, requiring the ability to identify potential challenges early and own the details that help the Principal work effectively. Responsibilities include executive calendar and schedule management; business operations and client relations; creative and marketing support; and communications and executive representation. The assistant will coordinate professional and occasional personal logistics, support client transitions and projects, prepare meeting materials, track commitments and deadlines, review creative and marketing materials, conduct research, manage incoming communications, draft correspondence, and handle confidential information with discretion.

Requirements

  • Ability to anticipate needs, think ahead, and identify potential challenges before they become problems.
  • Adaptability, emotional intelligence, and the ability to balance structure with spontaneity.
  • Comfort working with big personalities, ambitious ideas, shifting priorities, and high expectations.
  • Professionalism, confidence, sound judgment, and exceptional discretion.
  • Appreciation for individuality, authenticity, creative thinking, and a nonconventional workplace.

Responsibilities

  • Manage a high-velocity executive calendar, coordinating meetings, appointments, professional commitments, and personal scheduling.
  • Prioritize competing demands, protect the Principal's time, and ensure important obligations receive appropriate attention.
  • Anticipate scheduling conflicts, logistical challenges, and upcoming deadlines.
  • Coordinate occasional personal logistics and administrative needs.
  • Assist with client onboarding and offboarding, supporting seamless communication and organized transitions.
  • Serve as a point of contact between the Principal, internal team members, clients, and external partners.
  • Prepare pre-meeting briefs with background research, relevant documents, project updates, and outstanding deliverables.
  • Capture meeting notes, organize action items, communicate next steps, and follow through on commitments.
  • Monitor projects, deadlines, team responsibilities, and potential roadblocks, bringing relevant updates to the Principal's attention.
  • Help maintain accountability across departments without requiring constant direction.
  • Review presentations, proposals, creative briefs, marketing collateral, design assets, and written content for accuracy, consistency, and alignment with brand standards.
  • Support the preparation and organization of pitches, presentations, strategic documents, and client-facing deliverables.
  • Research marketing trends, emerging technologies, competitive landscapes, industry developments, and potential business opportunities.
  • Collaborate with creative, marketing, and operational teams to keep projects organized and communication flowing effectively.
  • Develop an understanding of the Principal's creative vision, communication preferences, and professional standards.
  • Manage and prioritize incoming email communications, identifying urgent matters and filtering unnecessary distractions.
  • Draft correspondence and professional communications that reflect the Principal's voice, tone, and intentions.
  • Maintain professional relationships with clients, employees, vendors, and business partners.
  • Handle confidential business matters, sensitive conversations, and personal information with discretion.
  • Represent the Principal with professionalism, confidence, and sound judgment.
