About The Position

The Executive Assistant to the CEO provides front line administrative support, performing a broad range of duties for the CEO. The ideal candidate is highly motivated, professional, and capable of managing a diverse workload while prioritizing tasks in a fast-paced environment. This team member will be responsible for a versatile task list, exercising independent judgment in handling correspondence, preparing and distributing reports and presentation materials while providing project support, scheduling and calendar support, and general administrative duties in a collaborative environment.

Requirements

  • Minimum of three years of executive administrative, executive assistant, personal assistant, or related experience
  • Ability to communicate professionally, clearly, and effectively with a wide range of internal and external stakeholders
  • Exceptional organizational and time-management skills, including managing complex calendars, coordinating travel, and prioritizing competing demands
  • Demonstrated ability to handle sensitive and confidential information with discretion
  • Strong attention to detail and ability to anticipate needs and solve problems proactively
  • Ability to work independently, exercise sound judgment, and adapt to changing priorities
  • CCI Annual General Construction Safety Training
  • First Aid/CPR Certification

Responsibilities

  • Work directly with the CEO throughout the day to assist in delegating tasks, enabling the CEO to focus on strategic company operations
  • Manage and coordinate complex business and personal calendars, appointments, meetings, and commitments
  • Coordinate and arrange business and personal travel
  • Use Microsoft Office proficiently and display an interest in learning additional tools and technologies
  • Compose, manage, and maintain confidential correspondence, reports, presentations, and other documents
  • Prepare agendas, notices, meeting materials, minutes, and follow-up action items as requested
  • Create, distribute, and track electronic documents and communications
  • Research and coordinate vendors, services, events, and other resources as needed
  • Anticipate the needs of the CEO and proactively identify solutions to scheduling conflicts, logistical challenges, and administrative needs
  • Serve as a trusted partner while maintaining a consistent and open line of communication with the CEO
  • Maintain a highly organized, efficient, and functional work environment
  • Uphold the highest level of confidentiality and professionalism regarding company and personal matters
  • Bill all project-related hours worked to the appropriate project(s)
  • Perform other duties as assigned
