About The Position

Databento is seeking an Executive/Personal Assistant to support its CTO, with occasional backup support for the Founder and CEO. The ideal candidate will be based in Salt Lake City for local tasks, though remote or hybrid arrangements may be possible. This role is crucial for the company's day-to-day operations, ensuring leadership can focus on high-priority work. The company is a next-generation market data provider in the financial industry, known for its innovative pay-as-you-go model and experienced team from top quantitative firms.

Requirements

  • Based in Salt Lake City, UT.
  • College degree or a minimum of three years of professional experience.
  • Proven experience as an executive assistant, personal assistant, similar administrative support role, or service-oriented position.
  • Exceptional organizational skills and ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills.
  • High degree of discretion and judgment when handling confidential or sensitive information.
  • Proactive problem-solver who anticipates needs and takes initiative.
  • Comfortable operating in a fast-moving startup environment.
  • Proficiency with standard productivity tools (Google Workspace, Slack, calendar software, etc.).
  • A valid driver's license with a clean driving record.

Nice To Haves

  • Familiarity with financial services, fintech, or tech companies.
  • Experience booking complex, multi-leg international travel itineraries.
  • Experience with expense management tools (e.g., Brex, Ramp, or similar).

Responsibilities

  • Provide high-leverage administrative and operational support to the executive team.
  • Handle personal and professional errands, vendor coordination, and quality-of-life tasks.
  • Coordinate travel arrangements (flights, hotels, ground transportation, itineraries) for executives and team travel, including offsites.
  • Manage calendars, including scheduling meetings, calls, and resolving conflicts across time zones.
  • Process, sort, and manage physical and digital mail, flagging action items and ensuring timely responses.
  • Maintain and organize files, correspondence, and records.
  • Serve as the point of contact for office logistics, including supply management and SLC-based operational needs.
  • Prepare expense reports, track reimbursements, and liaise with the finance function.
  • Identify opportunities to streamline workflows and proactively implement quality-of-life improvements for leadership.
  • Handle sensitive and confidential information with discretion.
