About The Position

The Executive Personal Assistant to the CEO serves as the primary operational support resource for the CEO's personal and family office priorities. Working from Signal Group's Novi office, this role is the primary point of contact for managing household vendors, personal financial obligations, scheduling, and travel — allowing the CEO to remain focused on business leadership. The ideal candidate brings discretion, exceptional organizational skills, and the ability to independently manage a high volume of details across multiple concurrent personal and household priorities.

Requirements

  • 3+ years of experience in an executive assistant, personal assistant, estate manager, or family office support role
  • Demonstrated experience managing personal finances, bill pay, or household accounts on behalf of an executive or high-net-worth individual
  • Exceptional organizational skills and the ability to manage multiple concurrent priorities without direct oversight
  • High degree of discretion and personal integrity; this role involves sensitive financial and personal information
  • Strong written and verbal communication skills; professional and polished in all interactions
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel); comfort with digital filing, document management, and online banking portals
  • Valid driver's license and reliable transportation

  • Experience supporting a family office or working alongside financial advisors and estate attorneys
  • Background in travel planning, vendor coordination, or estate/household management
  • Associate's or Bachelor's degree in Business Administration, Communications, or related field

Responsibilities

  • Manage and process all personal household bills, utilities, and other recurring obligations on behalf of the CEO.
  • Track due dates, account balances, and payment confirmations; maintain an organized payment calendar and audit log.
  • Liaise with financial institutions, accountants, and advisors as needed to facilitate transactions and resolve discrepancies.
  • Prepare and organize financial documents, statements, and correspondence for tax preparation or family office review.
  • Serve as the primary day-to-day liaison to the CEO's family office, coordinating with advisors, attorneys, and accountants.
  • Compile and submit requested documents, reports, and records on behalf of the CEO in a timely and accurate manner.
  • Maintain a secure, well-organized filing system (digital and physical) for all personal legal, financial, and estate documents.
  • Manage relationships with personal service vendors including home maintenance, landscaping, cleaning, and contractors.
  • Source, vet, and onboard new vendors as needed; solicit bids, negotiate service terms, and coordinate scheduling.
  • Manage the CEO's personal calendar, including appointments, family obligations, personal engagements, and recurring commitments.
  • Plan and book travel including flights, hotels, ground transportation, dining reservations, and activities.
  • Maintain an accurate running log of recurring tasks, vendor contacts, account numbers, and personal preferences for seamless continuity.
