About The Position

Spare builds AI-powered software that helps cities deliver better transit — over 250 communities around the world rely on us. We are growing fast and the internal operations that hold everything together need to match that pace. The Executive Operations (EO) role supports the three co-founders and owns the in-office experience — making sure the office runs smoothly, events bring people together, vendors deliver, and the founders never have to think about logistics. This role combines executive support with office operations as its foundation, but it extends into events, culture, and company-wide logistics that touch every team. Requirements

  • Experience supporting senior leaders or founders.
  • Experience running or contributing to office operations (facilities, vendors, events, onboarding).
  • Exceptional organizational skills, with the ability to manage multiple calendars, travel, and priorities simultaneously.
  • Reliability and a proactive approach to ensuring tasks are handled without question.
  • Good judgment and the ability to act independently.
  • Discretion in handling sensitive information.
  • Good taste and attention to detail in areas like gifts, events, and office aesthetics.
  • Low ego and high ownership, with a focus on ensuring things run well.
  • Ability to make logistics invisible to others.

Responsibilities

  • Executive support for three co-founders, including calendars, travel, meeting logistics, expense processing, visa letters, ground transport, and restaurant reservations.
  • Manage the Vancouver HQ office, including daily floor walks, meeting rooms, kitchen, reception, snacks, coffee, plants, and coordinating weekly Friday office food.
  • Handle physical onboarding and offboarding for new and departing staff, including desk setup, equipment, gear shipping, and device returns.
  • Serve as the single point of contact for all office vendors, including property management, janitorial, AV, catering, coffee, water, meeting pods, and internet.
  • Source, evaluate, and manage vendor relationships.
  • Plan and execute monthly small events, quarterly big events, and seasonal calendar events.
  • Handle logistics for internal events such as hackathons, team onsites/offsites, and SKO.
  • Own the logistics and production of Spare’s all-hands meetings, ensuring agendas are set, presenters are prepared, and meetings run on time.
  • Manage administrative tasks and logistics including expenses, cheque deposits, receipts, document scanning, swag inventory, event shipping, and mail/packages.
