About You and the Role Our Executive Operations Office keeps Zipline’s leaders focused, aligned, and moving quickly. As an Executive Assistant on this team, you will be a trusted partner to members of our Leadership Team, helping them operate with clarity, discipline, and leverage. In this role, you will manage complex calendars, anticipate needs, coordinate across teams, and ensure that time is spent on the highest-priority work. You will bring strong judgment, excellent communication, and a proactive approach to solving problems before they become blockers. You should be energized by a fast-paced environment, comfortable managing competing priorities, and able to operate with professionalism, discretion, and calm under pressure. This role is based at our South San Francisco, CA headquarters.

Requirements

  • 5+ years of experience as an Executive Assistant supporting senior executives or executive team members.
  • Excellent written and verbal communication skills.
  • Strong organization, attention to detail, and follow-through.
  • High judgment, discretion, and professionalism when handling confidential or sensitive matters.
  • Ability to anticipate needs, think critically, and offer solutions.
  • Comfort operating in a fast-paced, high-growth environment with shifting priorities.
  • Energy, proactiveness, and a service-oriented mindset.

Nice To Haves

  • Bachelor’s degree preferred.

Responsibilities

  • Partner with designated Executive Team members to help them stay focused on priorities and execute more effectively.
  • Manage complex calendars with strong judgment and an understanding of business priorities.
  • Prioritize conflicting needs, handle matters quickly and proactively, and follow through on projects through completion.
  • Organize and facilitate large team meetings, including agendas, logistics, and follow-up.
  • Arrange domestic and international travel, including itineraries, agendas, and priority meetings.
  • Track commitments, deadlines, and responsibilities, and follow up with the appropriate people to keep work moving.
  • Serve as a trusted point of coordination across teams, leaders, and key internal stakeholders.
