About The Position

We are looking for an Independent Thinker who thrives on bringing order to a multi-faceted professional life. Sonja leads three different organizations (spanning women in business and special needs advocacy), and she needs an assistant who can "own" the administrative and marketing machinery of all three. This isn't a role for someone who waits for a checklist. We need an experienced partner who has worked with CEOs before, understands the high-stakes nature of executive support, and can proactively suggest systems that improve efficiency.

Requirements

  • Previously worked directly with a CEO or high-level executive and understand the expected pace and professionalism.
  • You don't just point out problems; you come to meetings with research in hand and suggestions for solutions.
  • Provide "heads-up" alerts before issues arise and are always on time with deliverables.
  • Ability to manage a CRM (Constant Contact) and various project management tools across different brand identities.
  • CRM experience will be a huge bonus.

  • Experience with Constant Contact.

Responsibilities

  • Research and implement an effective Project Management system tailored to the unique needs of each of the three organizations.
  • Track all timelines, deadlines, and deliverables.
  • Coordinate daily with Sonja and the broader team to ensure nothing slips through the cracks.
  • Assist with tax preparation, maintain meticulous expense tracking, and manage data entry for bookkeeping and payables.
  • Own the LinkedIn and Instagram presence—from strategy and creation to engagement and analytics.
  • Design, clean up, and update handouts and PowerPoint presentations for professional courses.
  • Manage monthly newsletters. Sonja provides the topic; you draft the content, layout the email, and handle the send-out.
  • Manage communications for show guests as we shift toward a bulk-interviewing model.
  • Research and write articles for various newsletters across the organizations.
  • Proactively research funding and grant opportunities that align with our core missions (Women in Business and Special Needs).
  • Research relevant events monthly, present them to Sonja, handle registrations, and manage the calendar.
  • Transform business cards into leads by uploading contacts to Constant Contact, tagging them by event, sending tailored outreach emails, and connecting with them on LinkedIn.
