The Executive Coordinator plays a critical role in keeping our organization aligned and moving forward. Your Impact As the Executive Coordinator, you will serve as a key operational partner to the Chief People Officer and senior leadership team. You’ll support cross-functional initiatives, manage logistics, coordinate communication, and help track progress across multiple workstreams. Your ability to stay organized, communicate clearly, and anticipate needs will directly impact how effectively our teams execute. You’ll play a vital role in ensuring that priorities across HR, Training, Recruiting, Finance, and Executive functions are aligned, visible, and progressing forward.

Requirements

  • Minimum of 3 years of experience in an executive coordination, administrative, or operations support role.
  • Experience supporting multiple stakeholders and managing logistics across teams
  • Strong experience with calendar management, travel coordination, and meeting planning
  • Ability to manage multiple tasks, shifting priorities, and deadlines effectively
  • All candidates are required to undergo pre-employment Background and Drug Screenings, as well as a Motor Vehicle Record Check.

Nice To Haves

  • Experience supporting reporting, tracking, or project coordination efforts preferred
  • Bachelor’s degree in Business, Communications, HR, or related field preferred (or equivalent experience)

Responsibilities

  • Provide administrative and operational support to the Chief People Officer and executive team, including calendar management, travel coordination, meeting logistics, and communication support
  • Prepare materials, agendas, and follow-ups for key meetings to ensure alignment and execution
  • Maintain organization and consistency across executive workflows and priorities
  • Coordinate logistics for partner signing days, including ordering jerseys and materials and supporting onsite or remote execution
  • Plan and support corporate events, training sessions, leadership meetings, and team gatherings
  • Ensure events are executed with strong attention to detail and a high-quality employee and partner experience
  • Oversee general operations including supplies, vendor coordination, workspace organization, and overall office readiness
  • Ensure a professional, organized, and welcoming environment for employees and visitors
  • Support reporting efforts across HR, Training, Recruiting, and executive initiatives by gathering, organizing, and tracking key data points
  • Assist in preparing recurring reports, summaries, and updates that communicate progress, priorities, and outcomes
  • Help improve visibility into team efforts and ensure consistent communication across functions
  • Serve as liaison across HR, Training, Recruiting, Finance, and Operations to coordinate timelines, deliverables, and communication
  • Track key initiatives and follow up on action items to ensure progress and accountability
  • Support cross-functional projects by organizing workflows, documentation, and updates
  • Assist in planning and executing employee engagement initiatives, recognition programs, onboarding experiences, and cultural events
  • Support efforts that reinforce Guild's values, professionalism, and team experience across the organization

Benefits

  • Pay Range $65,000 - $75,000 USD
