About The Position

We are seeking a highly skilled and trusted Executive Assistant to support our Chief Executive Officer and Executive Leadership Team. This is a critical role for a proactive professional who thrives in a fast‑paced environment, exercises excellent judgment, and is comfortable operating at the highest levels of the organization, including regular interaction with the Board of Directors.

Requirements

  • High school diploma or equivalent required
  • 5+ years proven experience supporting multiple senior executives concurrently
  • Exceptional organizational, communication, and time‑management skills
  • Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Word, Excel)

Nice To Haves

  • 3+ years of experience supporting C-Suite executives
  • Prior experience interfacing with a Board of Directors
  • Notary Public certification
  • Spanish language proficiency (written and verbal)
  • Bachelor’s degree or equivalent experience

Responsibilities

  • Provides comprehensive administrative support to the CEO and Executive Leadership Team, including calendar management, travel coordination, expense management, and meeting logistics
  • Anticipates executive needs and proactively resolve scheduling conflicts and priorities
  • Prepares, reviews, and organizes executive correspondence, presentations, reports, and briefing materials
  • Interprets requests, helps implement action, and decide whether executive should be notified of important or emergency matters as needed
  • In executives absence, ensures that requests for action or information are relayed to the appropriate party
  • Serves as a key liaison with the Board of Directors
  • Coordinates Board and Committee meetings, including scheduling, travel coordination, materials preparation, agendas, minutes, and follow‑up actions
  • Maintains confidentiality and professionalism in all Board‑related communications
  • Organize, plan and support meetings, offsites, event planning and leadership events
  • Draft executive‑level communications and ensure timely dissemination of information
  • Manage sensitive and confidential information with the highest level of discretion
  • Track key deliverables, deadlines, and action items across the leadership team
  • Support governance, compliance, and corporate recordkeeping as needed
  • Prepare and edit high-level documents, reports, presentations, and other materials as needed
  • Assist with special projects and strategic initiatives as assigned
