About The Position

This role is for an Executive Assistant who will be responsible for providing comprehensive support to two founders and managing the office environment. The position requires a proactive and resilient individual who thrives in a fast-paced, high-volume setting. The core of the job involves managing the founders' calendars, travel, and personal logistics, as well as overseeing the day-to-day operations of the 425 Market Street office, including vendor management, guest experience, and front-door services. This is a demanding role where the ability to anticipate needs, make quick decisions, and maintain composure under pressure is crucial. The ideal candidate will treat administrative and workplace operations as their product and take pride in ensuring everything runs smoothly.

Requirements

  • 3+ years in executive support, office management, or administrative/workplace coordination, ideally a blend of all three.
  • Proven ability to juggle calendars, travel, vendors, and a physical space simultaneously without errors.
  • Exceptional responsiveness and organization; a systematic approach to managing tasks.
  • Responsiveness early in the morning (5–6 AM) when the founders' day takes shape.
  • Must be based in San Francisco and work in the office at 425 Market Street.
  • Ability to adapt to existing tools and workflows, such as iMessage, rather than resisting them.

Nice To Haves

  • EA experience supporting ex-finance founders or principals (hedge funds, PE, trading).
  • Office management, workplace, or facilities experience, with ownership of a physical space.

Responsibilities

  • Own the founders' calendars and days, including managing schedules, priorities, and making judgment calls on meeting conflicts and importance.
  • Manage all travel arrangements and personal logistics for the founders, such as doctor's appointments and family coordination.
  • Oversee the day-to-day operations of the 425 Market Street office, ensuring it is stocked, functional, and welcoming.
  • Manage relationships with vendors, including caterers and snack providers.
  • Own the front door and guest experience, including greeting visitors, managing building access, and submitting building tickets for maintenance.
  • Coordinate recruiting logistics, including managing reschedules, no-shows, and candidate feedback.
  • Assist with the housing program for relocated employees, monitoring transitions to prevent emergencies.
  • Be the early signal for the day, ensuring the founders' schedules are set and ready before the day begins and adjusting as needed.
  • Adapt to existing tools, such as iMessage, for communication and organization.
