Requirements

  • Bachelor’s degree with 6+ years in an executive assistant role supporting senior-level management, in a fast-paced global and matrixed environment.
  • Or High School or GED with 8 years in an executive assistant role within the pharmaceutical industry.
  • Ability to work independently and as part of a team.

  • Strong organizational and time-management skills.
  • Experience working across time zones (domestically and globally).

  • Strong problem-solving skills and attention to detail.
  • Proactive and detail-oriented with excellent communication skills (verbal and written).
  • Proficiency with various social media platforms; experienced in both creating and capturing engaging text-based content.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Understanding of AI concepts and a demonstrated curiosity to explore AI-enabled solutions.

Responsibilities

  • Manage the SVP's calendar, schedule meetings, and coordinate travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle incoming and outgoing communications, including emails, team calls, and mail.
  • Plan, organize, and coordinate meetings, conferences, and events.
  • Prepare agendas, manage meeting minutes, and follow up on action items.
  • Ensure the SVP is well-prepared for meetings with relevant materials and information.
  • Assist in the planning and execution of projects and initiatives led by the SVP.
  • Track progress and provide updates on key projects and deadlines.
  • Work across time zones and manage calendars effectively.
  • Act as a liaison between the SVP and internal/external stakeholders.
  • Build and maintain positive relationships with key contacts and departments.
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Maintain professionalism and a high level of confidentiality in all interactions.
