About The Position

Requirements

  • 1-10 years’ experience as an executive assistant to a senior level professional or similar role, with experience in the finance or asset management industry preferred.
  • Bachelor's degree or equivalent experience.
  • Strong organizational and time management skills with great work ethic and an understanding that work may need to occur late evenings or on weekends.
  • Superior technical aptitude and digital-native comfort level essential for success in our highly tech-enabled, fast-paced environment.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and collaboratively in a fast-paced environment.
  • High level of discretion and professionalism.
  • Positive attitude.
  • Must be willing to work 5 days per week out of our Tampa, Florida office

Responsibilities

  • Assist in managing the President's calendar, including scheduling meetings and appointments.
  • Manage and book all President travel, including flights, hotels, ground transportation, itineraries, and real-time changes; ensure seamless logistics and timely communication.
  • Assist in the coordination and preparation of materials for meetings, including agendas, tear sheets, and reports.
  • Ensure CRM database is up to date with relevant and accurate information.
  • Act as a liaison between the President and internal/external stakeholders, including clients, partners, etc.
  • Handle confidential information with discretion and professionalism.
  • Anticipate the President's needs and proactively address them.
  • Manage and prioritize multiple tasks and deadlines effectively.
