About The Position

This role provides a broad range of administrative support to three executive-level staff members in a fast-paced environment. The Executive Assistant will also work with and provide back-up support to other administrative resources across the Company. The position involves maintaining and updating HR organizational charts, leadership team structures, and talent planning materials, as well as preparing, consolidating, and distributing HR reports, dashboards, presentations, and workforce-related metrics. Coordination of HR Leadership Team meetings, HR staff meetings, and strategic planning sessions is also a key responsibility, including agenda development, logistics, materials preparation, and action item tracking. The role requires comprehensive calendar management, including planning and scheduling meetings, conferences, teleconferences, travel, and reservations. Additionally, the Executive Assistant will prepare, review, and submit expense reports, develop and maintain relationships with the executive team and internal staff, and manage special projects as needed.

Requirements

  • Minimum of 5 years of administrative support experience.
  • Preferably 2-3 years providing administrative support to senior level and/or C-suite executives.
  • High level of computer literacy, including strong Microsoft Office (Outlook, Word, Excel, PowerPoint, One Drive/SharePoint, Teams, etc.) skills.
  • Experience with expense report management for self and others.
  • Must be comfortable with numerical/analytical work.
  • Must possess excellent communication skills, both oral and written.
  • Must have excellent telephone, video conference and interpersonal skills.
  • Ability to maintain confidential and highly sensitive information and exercise discretion in dealing with others.
  • Must be detail oriented, organized, have excellent time-management skills and be customer service focused.
  • Exhibits strong work ethic, takes initiative and can ‘read the room’ and adjust to the needs of the customer.
  • Eager to learn new skills, chip in and assist where needed, while recognizing and balancing priorities.

Nice To Haves

  • Experience providing administrative support in a publicly traded company preferred.
  • BA/BS, or equivalent education, highly desired.
  • Experience with web-based systems such as Concur, or related T&E system, for business travel & expense is strongly desired.
  • Experience with project management and accounting tools preferred (Asasa, Tungsten, JDE, etc.).

Responsibilities

  • Support and assist 3 executive level staff members in a fast-paced environment by providing a broad range of administrative support.
  • Work with and provide back-up support to other administrative resources across the Company.
  • Maintain and regularly update HR organizational charts, leadership team structures, and talent planning materials, ensuring accuracy and timely distribution for executive and board-level reviews.
  • Prepare, consolidate, and distribute recurring HR reports, dashboards, presentations, and workforce-related metrics for the CHRO, HR Leadership Team, and senior executives.
  • Coordinate and manage HR Leadership Team meetings, HR staff meetings, and strategic planning sessions, including agenda development, meeting logistics, materials preparation, action item tracking, and follow-up.
  • Own calendar management by planning and scheduling meetings, conferences, teleconferences, travel, and reservations for various activities and events, including catering.
  • Prepare, review and submit expense reports, following Company policies and procedures.
  • Develop and maintain good relationships with members of the executive team and other internal staff, seeking to understand and anticipate needs to maximize efficiency of the leaders.
  • Prepare, organize and maintain information electronically and hard copy as needed, including documents and contracts, vendor information and payments, and internal and external correspondence.
  • Prepare professional-quality presentations and reports for internal and external audiences, including the company’s executive leadership team.
  • Prepare outgoing correspondence such as mail, e-mail, memos, letters and faxes.
  • Implement and maintain filing systems; electronic and hard copy if needed.
  • Manage special projects as needed and other duties as assigned.
