About The Position

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the station Vice President/General Manager, while overseeing key administrative, facilities, and employee engagement functions. This role serves as a critical partner to executive management team, ensuring efficient daily operations, seamless communication, and a positive workplace experience. The ideal candidate excels at multitasking, relationship building, event planning, and managing confidential information in a fast-paced environment.

Requirements

  • 3+ years of experience in executive support, office management, operations, or related administrative roles.
  • Strong organizational, project management, and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proven ability to handle confidential and sensitive information with discretion.
  • Experience coordinating meetings, events, travel arrangements, and executive schedules.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Strong interpersonal skills with the ability to work effectively across all levels of an organization.
  • Demonstrated ability to prioritize competing deadlines and manage multiple projects simultaneously.

Nice To Haves

  • Bachelor's degree or an equivalent combination of education and experience.
  • Experience supporting senior executives or station leadership.
  • Prior supervisory or team leadership experience.
  • Experience with employee engagement initiatives, special events, or internal communications.
  • Previous experience in a broadcast, media, entertainment, or news environment.
  • Experience with Microsoft Teams, SharePoint, and expense management systems.

Responsibilities

  • Provide comprehensive executive support to the VP/General Manager, including managing calendars, appointments, travel arrangements, executive and departmental expenses, coordinating meetings ranging from executive leadership sessions to station-wide Town Halls, and serving as the primary liaison with employees, corporate partners, clients, vendors, and community organizations.
  • Oversee office operations and facilities management by supervising Mailroom and Switchboard staff and overseeing day-to-day operations of those departments. Manage facility-related initiatives, including vending services, cleaning and janitorial, security badge administration, office maintenance and facility improvement projects.
  • Lead employee engagement and internal communications efforts by planning and executing employee events, managing related budgets, coordinating content for the in-house digital signage network, production of the station's monthly newsletter, and supporting organizational communications and special projects.
  • Support the stations community relations efforts through coordination of charitable sponsorships, public service programs, and producing the WGN Community Calendar, to promote local events, nonprofit campaigns, and community outreach efforts throughout the Chicago area.
