About The Position

The Executive Assistant role will provide high level administrative and coordination support to the Group Chief Operations Officer and the Chief Financial Officer, including day-to-day operational support and assist with business improvement strategies to contribute to the overall success of the business.

Requirements

  • At least 4 years’ experience in Personal Assistant, Executive Assistant, or administrative role
  • Strong written and communication skills
  • Excellent attention to detail, organisational and time management skills
  • Reliable and trustworthy nature when dealing with confidential issues and staff at all levels
  • Establish and maintain harmonious working relationships with superiors, co- workers, clients and suppliers.
  • Keen to learn existing systems and identify opportunities for improvement.
  • Uphold confidentiality, discretion and integrity at all times.

Nice To Haves

  • Experience in the International Development sector.
  • Experience in executive or administrative support to a COO or CFO role.

Responsibilities

  • Provide proactive executive support to the Group Chief Operating Officer (COO) and Group Chief Financial Officer (CFO).
  • Manage complex executive calendars, meeting schedules and competing priorities across multiple time zones.
  • Coordinate domestic and international travel, including itineraries, accommodation and logistics.
  • Prepare executive correspondence, presentations, reports, briefing papers and meeting materials.
  • Support the co-ordination of Executive Leadership Team (ELT) logistics, agenda and action registers as required.
  • Monitor and follow up on key actions and deliverables to ensure timely completion.
  • Act as the primary liaison between the COO, CFO and internal and external stakeholders, maintaining strong professional relationships.
  • Provide administrative support for business transformation initiatives and strategic projects under the remit of the COO and CFO.
  • Manage confidential information with the highest level of professionalism, integrity and discretion.
  • Coordinate document approvals, signatures and executive workflows.
  • Organise and maintain executive filing systems, records and governance documentation.
  • Manage executive expenses, purchase requests and other administrative processes as required.
  • Identify opportunities to improve executive office processes, efficiency and ways of working.
  • Anticipate the needs of the COO and CFO, providing proactive support that enables effective leadership and decision-making.
  • All other administrative duties as directed by the COO and CFO.
