About The Position

Mortenson’s Minneapolis Office is currently seeking an Executive Assistant who holds a positive attitude, displays a strong work ethic and can provide high-quality, professional, and timely executive assistance to Group leadership. Strong communication skills are necessary as you will coordinate with staff at all levels in an ever-changing environment. Your ability to remain flexible, inventive, dedicated, and efficient with a high level of integrity and confidentiality is vital to your success in this role.

Requirements

  • Associate or bachelor's degree in Business Administration or equivalent experience
  • Minimum 5 years administrative experience, with at least one year of executive administrative support
  • Construction-related business experience preferred
  • Ability to maintain a high level of confidentiality and discretion
  • Detail-oriented with the ability to organize and manage multiple projects
  • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint
  • Adaptive, effective communication and active listening skills in a fast-paced environment
  • Positive and professional attitude with strong customer service skills
  • Ability to craft systems and processes, and seek out additional responsibilities
  • Must be currently legally authorized to work in the U.S. without sponsorship for employment visa status (e.g., H1B status, 0-1, TN, CPT, OPT, etc.). We are unable to sponsor or take over sponsorship of an employment Visa at this time.

Responsibilities

  • Coordinate and schedule meetings, including room, equipment, catering, and participant details; includes maintaining groupwide annual calendar of recurring meetings
  • Prepare materials, documents, and PowerPoint presentations for meetings and events
  • Research, book, and coordinate travel arrangements; handle conference registrations and expense reports (SAP Concur experience a plus)
  • Plan and coordinate events, including annual meetings, team outings, and customer events
  • Order and manage technology items and office supplies; maintain printers and reconcile reports
  • Prepare workspaces and coordinate orientation for new team members, handle apparel orders and invoice processing; includes coordination with internal college recruiting and talent acquisition teams
  • Support Director of Operations with staffing and tracking software; build relationships across diverse backgrounds
