About The Position

The Executive Assistant will provide high-level administrative support to the President and Executive team with professionalism and in a manner that reflects positively on the organization.

Requirements

  • Associate degree in a business-related field of study or equivalent level of experience
  • 3-5 years of experience in a professional office setting
  • Experience in a manufacturing setting preferred
  • High level of interpersonal skills to handle sensitive and confidential situations
  • High level of written and verbal communication skills
  • Advanced user of MS Office solutions
  • Experience in internet research
  • Good problem-solving skills
  • High attention to detail in composing, typing and proof-reading materials
  • Demonstrated ability to handle multiple tasks, establish priorities and meet deadlines
  • A professional demeanor with positive customer service to internal and external customers

Responsibilities

  • Manage sensitive matters with confidentiality and discretion, especially decisions directly impacting the operations of the company.
  • Sustain a daily calendar of meetings and events; schedule and attend meetings on behalf of executives, taking notes and recording minutes.
  • Organize complex calendars and schedules, resolving any scheduling issues.
  • Plan and coordinate company events and culture/philanthropy activities.
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization.
  • Arrange travel and accommodations for members of the Executive Team; prepare expense reports.
  • Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to appropriate staff.
  • Draft and prepare correspondence for internal announcements, leadership meetings, and organizations that executives are involved with.
  • Receive incoming communication or memos on behalf of the Executive Team, review contents, determine importance, and summarize and/or distribute contents to appropriate staff.
  • Conserve the time for members of the Executive Team by reading, researching, collecting, and analyzing information as needed in advance.
  • Perform office tasks including maintaining records, ordering supplies, sorting and distributing mail, etc.
  • Integrate Company’s Vision in daily work operations.
  • Use of excellent ethical business practices and good judgment in dealings.
  • Promote positive teamwork with ability to work in self-directed work environment.
  • Sustain detailed product knowledge for existing and new products.
  • Maintain system knowledge of internal software.
  • Maintains an organized work environment.
  • Remain current regarding Pleasurecraft Engine Group’s Goals & Missions and ensure compliance in area of control.
  • Effective stewardship of the Company’s financial resources.
