You will receive 18 remote workdays per quarter to use at your discretion, subject to manager approval. For example, you may choose to work in the office 4 days per week and take one remote day weekly (typically 13 weeks per quarter), leaving 5 additional remote days to be used as needed. We are seeking an experienced Executive Assistant to provide a broad range of support to Managing Directors within Product Management and Solutions, as well as other senior members of the HarbourVest team. This individual will help foster a professional and welcoming environment for the team and external parties.

Requirements

  • Demonstrated experience in supporting senior leadership with calendar management
  • Experience coordinating travel, predominantly domestic
  • Experience with onsite meeting coordination and workroom production
  • Motivated, self-starter with the ability to work independently as well as part of a team
  • Ability to build and foster strong working relationships with stakeholders at all levels, and across multiple functions and geographies
  • Problem solving skills with a bias for action leveraging data, technology applications and other tools
  • 10 years+ Executive Assistant support experience supporting senior executives

Nice To Haves

  • Technologically proficient with a thorough knowledge of Microsoft Office Suite and ability to learn and adapt quickly to other applications.
  • Knowledge of SAP Concur Expense platform and Salesforce a plus but not required

Responsibilities

  • Provide Executive Assistant support to senior level individuals
  • Calendar management, including proactively identifying and resolving potential scheduling conflicts
  • Meeting planning and scheduling, both virtual and in-person, with internal and external parties and at times, across multiple geographies and time zones
  • Management of expense reimbursement, including for travel
  • Respond to emails, MS teams and phone calls in a timely manner
  • Coordinate domestic and international travel arrangements including flights, hotels, car service as well as troubleshooting if unexpected changes arise
