About The Position

The Executive Administrative Assistant provides high-level administrative support to executives by managing schedules, coordinating meetings, handling confidential information, and ensuring efficient day-to-day operations. This role requires strong organizational skills, discretion, and the ability to work independently in a fast-paced environment.

Requirements

  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills
  • High level of organization and attention to detail
  • Ability to multitask and prioritize effectively
  • Strong problem-solving skills and sound judgment
  • Ability to handle sensitive information with confidentiality

Nice To Haves

  • Associate or Bachelor’s degree in business administration or related field
  • Experience supporting executives
  • Familiarity with project management tools or CRM systems

Responsibilities

  • Provide administrative support to executive management and other teams across the organization
  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements
  • Prepare and edit correspondence, reports, presentations, agendas, and meeting materials
  • Coordinate meetings, including logistics, agendas, and recording minutes
  • Arrange business travel, including itineraries and accommodations
  • Act as a point of contact between executives and internal/external stakeholders
  • Maintain organized files, records, calendars, and documentation systems
  • Track expenses, prepare expense reports, and assist with budget monitoring
  • Process invoices, submit check requests, and set up new vendors/suppliers
  • Order and manage office supplies
  • Support special projects and initiatives assigned
  • Handle confidential information with professionalism and discretion
