About The Position

Archy is a Series C vertical SaaS company focused on modernizing dental practice management with software and AI agents. This is its first Executive Assistant hire, supporting the CEO, COO, and CTO. The Executive Assistant will bring structure and thoughtful coordination to a fast-moving environment and help build the Executive Assistant function from the ground up. The role requires daily judgment about how executives spend their time, exceptional discretion with sensitive and confidential information, and proactive anticipation of needs and potential problems. The role covers executive calendar and travel management, meeting preparation and follow-through, executive communications, board and investor coordination, event planning, executive operations, and cross-functional follow-through. The position is remote-friendly and includes coordination of domestic travel and company events, including an annual company offsite and user conference.

Requirements

  • At least 5 years of experience supporting senior executives, ideally including a founder or CEO at a high-growth company.

  • Exceptional discretion when handling sensitive and confidential information.
  • Ability to anticipate needs and solve problems proactively.
  • Excellent written communication, including the ability to write convincingly in another person’s voice.
  • Strong follow-through and a personal system for tracking commitments without needing repeated reminders.
  • Comfort with constant change and ability to adapt quickly as priorities and plans shift.
  • Directness and confidence to push back when needed and hold senior leaders accountable to deadlines and commitments.
  • Ability to leverage AI tools and automation in everyday work to improve speed, outcomes, and operations.
  • Fluency with Google Workspace and Slack, and comfort adopting new tools quickly.

Nice To Haves

  • Experience as the first or only Executive Assistant at a company, building the function rather than inheriting it.
  • Experience supporting multiple executives at once.
  • Preferred work locations in Central Standard or Mountain Time.

Responsibilities

  • Coordinate end-to-end domestic travel, including flights, hotels, ground transportation, and itineraries, and adapt quickly to changes.
  • Prepare meeting agendas and pre-reads, capture key decisions and action items, and drive follow-through on commitments.
  • Communicate professionally and discreetly with internal and external stakeholders as a trusted extension of the executives.
  • Manage scheduling and logistics involving board members, investors, and internal stakeholders, and ensure follow-ups are completed.
  • Coordinate leadership offsites, team and customer dinners, and key company events, including the annual company offsite and user conference.
  • Manage expense reporting and vendor and subscription administration, and route contracts and requests to appropriate owners.
  • Proactively follow up with senior leaders on deadlines, decisions, and commitments on behalf of the executives.
